About the position

The Project Manager for SAMBAZON's Hospitality Group will play a pivotal role in overseeing and driving the success of various projects, from inception through to completion. This position will be responsible for managing project schedules, coordinating conferences and events, and handling accounting functions related to the Hospitality Group. Reporting directly to the Director of Design and Development, the Project Manager will collaborate closely with cross-functional teams, including business development, marketing, operations, and other stakeholders to ensure deliverables, requirements, schedules, cost, and meeting plans are communicated to ensure project milestones are achieved and delivered to the highest standards. Key responsibilities include developing and maintaining detailed project plans, managing project documentation and communication, and providing support for new store openings. The role demands strong organizational skills, excellent communication abilities, and a proactive approach to managing project risks and ensuring timely execution. We are also open to candidates in the Orlando, FL area. Position may involve occasional travel to support new store openings and attend trade shows.

Responsibilities

  • Develop a detailed project schedule and manage orderly flow of Hospitality Group projects from inception to completion in Asana and SmartSheet.
  • Organize and manage project files in SharePoint, ensuring all documentation is current and accessible.
  • Document meeting details, including summary reports and action items, to ensure follow-up and accountability.
  • Manage detailed records of each project stage, including summary reports for calls and meetings.
  • Collect input from functional areas to develop realistic project timelines, milestones, and key deliverables.
  • Work directly with the Hospitality Group to prepare budgets based on scope of work and resource requirements.
  • Track project costs to manage budget.
  • Collect and organize files and plans necessary for Request for Proposal (RFP) development.
  • Assist in navigating permits for corporate owned locations.
  • Schedule and organize meetings, ensuring all participants are informed and prepared.
  • Coordinate logistics for conferences and events, including product coordination, show services, shipping, and materials management.
  • Oversee pre- and post-store opening operations, including the coordination of shipments for equipment, furniture, and fixtures.
  • Assist with administrative responsibilities within the Hospitality Group, ensuring smooth daily operations.
  • Provide support for Franchise Discovery Days, tradeshows, and other special events as needed.
  • Facilitate effective communication among team members and external parties to streamline processes.
  • Support on-site for new openings with design and installation assistance as required.
  • Act as a point of contact for new vendor set-ups, ensuring all necessary documentation and approvals are completed.
  • Issue and track purchase orders, ensuring accuracy and timely processing.
  • Oversee receipt management and coordinate approvals for invoicing to ensure accurate and timely payments.
  • Review and process invoices, ensuring alignment with project budgets and contractual agreements.
  • Assist with the development and implementation of project management strategies, focusing on efficient resource allocation.
  • Perform other accounting-related duties as assigned to support project and team needs.
  • Develop and maintain detailed financial records for each project, including budget tracking and cost analysis.

Requirements

  • Two plus years of project management experience, preferably related to multi-unit restaurant or retail industry.
  • Bachelor's Degree in business, design, project management, or a related field.
  • Good communication and interpersonal skills, capable of maintaining strong relationships with team members and stakeholders.
  • Strong organizational and multi-tasking skills, with the ability to handle multiple projects simultaneously.
  • Excellent analytical and problem-solving abilities to effectively manage and resolve project challenges.
  • Proven team-management and leadership skills, including experience in assigning tasks and motivating team members.
  • Proficiency in documentation management and use of project management tools (Asana is a plus).
  • Experience with Microsoft Office applications, including Excel, Outlook, Word, PowerPoint, and SharePoint.
  • Understanding of quick-service restaurants and related industry dynamics.
  • Attention to detail and a commitment to quality, ensuring high standards in project deliverables.

Nice-to-haves

  • PMP Certification or equivalent project management certification.
  • Experience in creative project management, such as design, construction, photo, video, or social media projects.
  • Prior experience with project management software (e.g., SharePoint, Asana) and familiarity with best practices.
  • Work experience with a restaurant or retail company is a plus, providing relevant industry insights.
  • Knowledge of project management methodologies and strategies, including Agile or Waterfall.
  • Experience in coordinating large-scale events or tradeshows, demonstrating logistical and operational skills.
  • Ability to develop and implement project management strategies and best practices.
  • Familiarity with hospitality or franchise operations, enhancing understanding of the industry.
  • Experience in managing budgets and financial tracking for projects.
