About the position

The Project Manager will be responsible for overseeing customer accounts and programs, ensuring that all customer service functions are executed efficiently. This role involves managing accounts and projects that have complex components, requiring a keen understanding of production methods and product recommendations that align with project requirements. The Project Manager will play a crucial role in identifying and initiating improvements to assigned accounts and processes, thereby enhancing overall customer satisfaction and operational efficiency. In this position, the Project Manager will manage the overall scope of accounts and programs, delegating project tasks to team members as appropriate. They will assist in training team members, ensuring that everyone is equipped with the necessary skills and knowledge to perform their roles effectively. The Project Manager will create and maintain comprehensive documentation for assigned accounts, ensuring that all information is accurate and up-to-date. A key responsibility will be to ensure the accurate and timely delivery of customer jobs, working closely with the project team and clients to address project details, delivery schedules, and any concerns that may arise. The Project Manager will also process requests for quotes (RFQ) from selling business units and assigned clients, managing project costs to ensure that budgets are adhered to. They will work collaboratively with the sales team to adjust sales dollar amounts based on client-driven modifications. Additionally, the Project Manager will review job specification documents to ensure that jobs are produced accurately and will manage the client art approval process through various means such as PDF proofs and CAD drawings. Collaboration with other departments is essential, as the Project Manager will develop and maintain accurate records for production planning, scheduling, and inventory control. They will convert estimates to jobs in the system software and work with teams to schedule production due dates. For complex jobs or those valued at $20k or more, the Project Manager will schedule production meetings as necessary. They will monitor jobs, communicate any problems or cost changes to clients and related production departments, and coordinate purchase order requests for outside vendors. Timely invoicing of finished jobs is also a critical responsibility, with a goal of completing this within 3-5 business days after job completion. The Project Manager will handle client complaints, ensuring that all issues are resolved promptly and that appropriate costs are passed on when applicable, while also documenting any non-conformance issues.

Responsibilities

  • Manage overall scope of accounts and programs.
  • Delegate project tasks to team members as appropriate.
  • Assist in training team members.
  • Create and maintain assigned account documentation.
  • Ensure accurate, on-time delivery of customer jobs.
  • Work closely with the project team and clients on project details, delivery schedules and all concerns relating to jobs.
  • Process requests for quotes (RFQ) from selling business units and assigned clients as needed.
  • Manage project costs to ensure budgets are maintained.
  • Review job specification documents to ensure jobs are produced accurately.
  • Manage the client art approval process via PDF proofs, CAD drawings, strategic drawings, and other items as outlined by other departments.
  • Work closely with other departments in developing and maintaining accurate records for production planning/scheduling, inventory control, and other related items.
  • Convert estimates to jobs in system software.
  • Work with teams to schedule production due dates for jobs.
  • Review complex jobs and/or jobs worth $20k + and schedule production meetings as appropriate.
  • Submit RFQ and documentation to the planning team.
  • Monitor jobs, modify jobs as needed, and communicate any problems or cost changes to clients, sales team, and related production departments.
  • Coordinate and facilitate purchase order requests for outside vendors.
  • Manage and coordinate field work with outside vendors.
  • Invoice finished jobs in a timely manner (goal is 3-5 business days after job completion).
  • Process client complaints and ensure all issues are resolved and processed in a timely manner and appropriate costs are passed on when applicable.
  • Communicate professionally with sales and with customer contacts.

Requirements

  • BS or BA Degree in a related field, or equivalent in education, training, and experience.
  • Minimum of 4 years of experience, preferably in a customer support, project management, and/or graphics environment.
  • Sound understanding of the company's manufacturing capabilities.
  • Ability to handle complex projects that ship to multiple locations and are manufactured across various production platforms.
  • Understanding of industry substrates and manufacturing methods.
  • Problem-solving skills.
  • Proficiency in Microsoft Office Suite.
  • Knowledge of ERP systems.
