About the position

The Project Manager (PM) at Cal Solar Inc is a pivotal role responsible for overseeing the financial and contractual success of a portfolio of solar projects. The PM is involved from the moment a contract is signed until the project is handed over to Operations and Maintenance (O&M). This position serves as the primary contact for all communications related to the project, ensuring that all aspects of project management are executed effectively. The PM will manage various elements including scheduling, cost management, procurement, job setup, and project closeout. Collaboration with the Design Engineer, Construction Manager, and General Foreman is essential to support safety, quality, and efficiency on-site. The PM is tasked with ensuring that each project aligns with the company's business objectives, which include timely revenue generation, maintaining gross margins, and achieving high levels of customer satisfaction. This involves continuous tracking of the project billing schedule and managing costs to protect margins while identifying potential change orders. The PM must keep the Director of Project Management informed of any risks that may threaten project objectives and conduct weekly meetings with the Construction Director and COO to review labor tracking, billing projections, and upcoming manpower needs. In addition to financial oversight, the PM is responsible for understanding and fulfilling all contract deliverables, building and maintaining project schedules, and coordinating with general contractors to ensure timely mobilization of critical path construction activities. The role also includes negotiating contracts with subcontractors and procuring necessary materials and equipment while ensuring compliance with budget constraints. The PM will actively monitor installation costs and labor efficiency, seeking opportunities to reduce costs without compromising safety or quality. The PM is expected to foster a culture of continuous improvement by documenting issues encountered on projects, scheduling necessary meetings, and maintaining open communication with clients and project teams. This role also emphasizes team building and culture, encouraging employees to take accountability for their career growth and supporting their training and development. The PM will establish and maintain strong relationships with various stakeholders, including governing agencies and subcontractors, while championing equal employment opportunities and affirmative action programs.

Responsibilities

  • Ensure that the project supports all company goals such as timely revenue, gross margins, and customer satisfaction.
  • Continuously track project portfolio billing schedule and report through the Sage Intact ERP Platform.
  • Track budget to actuals to protect margins and identify potential change orders; initiate and negotiate change orders when needed.
  • Keep the Director of Project Management informed of any threats to project objectives.
  • Conduct weekly meetings with Construction Director and COO to review man hours, billing projections, P/L, and upcoming manpower needs.
  • Submit timely trial SOVs/invoices to clients for approval prior to billing and follow up for on-time payment.
  • Fully understand the contract documents and fulfill all requirements at or above expectations.
  • Build and maintain a project schedule showing all critical events in the project.
  • Coordinate with all GCs to ensure critical path construction activities are mobilized in a timely manner.
  • Negotiate and contract with subcontractors for labor compliance and scope of work requirements.
  • Order appropriate materials and equipment for projects per the PMO-CM Matrix and review all orders for accuracy and budget compliance.
  • Actively engage in monitoring installation costs and identify measures to reduce costs without compromising safety or quality.
  • Document any issues experienced on specific jobs to provide feedback to the engineering and design teams.
  • Schedule project kickoff, design review, and pre-mobilization meetings as established in SOPs.
  • Conduct routine meetings with clients and project teams to maintain alignment and communication.

Requirements

  • Bachelor's degree or equivalent work experience in a related field.
  • Experience project managing commercial/industrial solar construction projects.
  • Supervising experience with subcontractors in the construction industry.
  • Strong understanding of the National Electrical Code (NEC) and plumbing code.
  • Working knowledge of Uniform Building Code (UBC) and building materials/techniques.
  • Ability to read and understand electrical, plumbing, and structural plans.
  • Experience working directly with city/county permitting offices and inspectors.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service skills.
  • Excellent organizational, attention to detail, analytical/problem-solving, and time management skills.
  • Strong supervisory and leadership skills with the ability to train and motivate others.
  • Proficiency in Microsoft Applications Suite (Excel, Word, PowerPoint, Outlook) and Sage Intact Accounting.

Nice-to-haves

  • Experience with Dropbox and SCOOP software.
  • Knowledge of grid-tied PV systems and solar domestic hot water systems.
  • Ability to implement site-redesign and mark-up plans.
