About the position

The Project On-boarding Coordinator at Backpack Group LLC is responsible for facilitating the onboarding process of property teams and their building data. This role requires strong analytical, problem-solving, and communication skills to effectively coordinate with various stakeholders, manage project timelines, and ensure that information submissions align with project schedules. The ideal candidate will be detail-oriented, capable of multi-tasking, and able to work both independently and as part of a team.

Responsibilities

  • Coordinate with and respond to information requests.
  • Incorporate updates and field input into work products and reports.
  • Discuss project progress and schedule changes with project managers or engineers.
  • Liaise with stakeholders to fulfill onboarding requirements.
  • Review building plans to extract important information.
  • Analyze HVAC plans and document plant systems/equipment.
  • Organize and lead property team meetings.
  • Maintain and monitor onboarding timelines and work hours.
  • Identify areas of project management that need re-addressing for efficiency and cost control.
  • Present process improvements to project managers and manage their implementation.
  • Facilitate the onboarding of property teams and their building data.
  • Support other members of the onboarding team and maintain open communication.

Requirements

  • Excellent verbal and written communication skills.
  • Proficiency in MS Office suite (especially Excel, Word, PowerPoint, and Outlook).
  • Strong independent workload and time management skills.
  • Ability to communicate with varying levels of stakeholders.

Nice-to-haves

  • Working knowledge of Atlassian and Airtable software.
  • Familiarity with building infrastructure, HVAC, and operational technology terminology and diagrams.
  • Awareness of utility billing rates and structures.
