About the position

As a Project Service Coordinator at Qualus, you will play a crucial role in ensuring the successful completion of operational projects. This position involves the overall coordination of various activities, including managing subcontractors and overseeing project materials and logistics. You will work closely with Project Managers, Field Service Managers, and Support Specialists, either independently or as part of a team, to support specific client projects. Your expertise will be essential in monitoring project scope, schedule, and budget plans, ensuring that all aspects of the project are aligned with Qualus standards and client expectations. In this role, you will serve as a subject matter expert for the ERP system, guiding the team in processes and procedures related to operations. You will be responsible for project resource planning and scheduling, assisting in contract management, and entering orders into the production system. Your attention to detail will be vital as you coordinate customer billing, prepare invoices, and ensure that all time and expense charges are accurate and conform to company policies and client contracts. Additionally, you will oversee the creation of new projects in the ERP system, ensuring thorough and accurate project closeout. You will assist in the change order process, communicate status updates, and coordinate material procurement by generating purchase orders and confirming that orders meet requisition standards. Tracking project deliverables and monitoring project status will also be part of your responsibilities, as you provide support to Project Managers, Directors, and Account Managers. Your role will also include providing accounts receivable and accounts payable support, leading production meetings, and performing other duties as assigned.

Responsibilities

  • Supports Project Managers, Operations Leaders, and other Team Leaders with monitoring and controls of project scope, schedule, and budget plans
  • Serves as a subject matter expert for the ERP system and processes and procedures relative to Operations
  • Performs and/or supports project resource planning and scheduling as needed
  • Supports and assists in the contract management process
  • Enters Orders/Jobs into production system updating as advised relative to status, dates, shipping, and other pertinent information
  • Coordinates customer billing; prepares invoices and processes in timely fashion
  • Ensures that time and expense charges to projects are accurate and conform to Qualus standards & policy and client contracts
  • Ensures accurate creation of new project set up in ERP System
  • Ensures thorough and accurate project closeout
  • Assists in the change order process and submittal and communicates status
  • Processes customer PO's as directed ensuring alignment of scope expectations
  • Coordinates material procurement and generates purchase orders. Confirms material orders and pricing meets with purchase requisitions
  • Provides support in tracking project deliverables using appropriate tools (may include working with and coordinating subcontractors)
  • Monitors and reports project status to Project Managers, Directors, Account Managers and other stakeholders as required
  • Provides AR & AP support and monthly invoicing review
  • Controls production log for the location and leads production meetings
  • Performs other duties as assigned

Requirements

  • Bachelor's degree in Finance, Accounting, Business Administration or equivalent degree; minimum of 2 years of experience OR Associates degree; minimum of 4 years of experience OR High school diploma; minimum of 6 years of experience
  • Minimum experience to include: Project coordination, Budget/accounting coordination, Financial management, tracking & analysis, Analysis and application of operational reports
  • Experience in project management and/or operations management, or related industry experience
  • Experience working in Project Management applications and Enterprise Resource Planning (ERP) software (Microsoft Project, Primavera, Deltek)
  • Proficient with MS Office tools (Word, Excel, Outlook) and ability to manage and analyze large quantities of data
  • Knowledge of both theoretical and practical aspects of project management
  • Experience with subcontractor management and/or procurement, technical projects and/or field construction operations
  • Experience with conflict management, risk management and change management
