The Project Support Administrator & Travel Coordinator at Syncon Inc. is a vital role that supports project managers and teams by providing administrative assistance and managing travel logistics. This position requires strong organizational and communication skills, as well as the ability to multitask in a fast-paced environment. Proficiency in both English and Spanish is essential for effective collaboration with diverse teams and clients.

Responsibilities

  • Assist project managers with administrative tasks, including document preparation, scheduling meetings, and maintaining project files.
  • Coordinate project timelines, ensuring deadlines are met and deliverables are tracked.
  • Help in the preparation and distribution of project reports and presentations.
  • Maintain communication with project stakeholders, providing updates and gathering necessary information.
  • Support procurement processes by assisting with vendor communication and order management.
  • Manage travel arrangements for multiple crews and team members, including booking flights, accommodations, and transportation.
  • Ensure travel arrangements align with company policies and budgets.
  • Liaise with travel vendors to negotiate rates and secure the best options for team members.
  • Maintain accurate records of travel itineraries and expenses for reporting purposes.
  • Address any travel-related issues or changes promptly, ensuring clear communication with affected staff.

Requirements

  • High school diploma or equivalent; associate's degree or higher preferred.
  • 3 years of experience in administrative support, project coordination, or travel management, preferably in the construction industry.
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management software.
  • Familiarity with travel booking tools and vendor management.
  • Attention to detail and problem-solving skills.
  • Bilingual in English and Spanish.
