About the position

The University of Iowa Facilities Management, Design & Construction is seeking a Project Support Coordinator to assist in the management of various design and construction projects. This role is integral to the planning, coordination, and oversight of both capital and non-capital projects, which include repairs, remodels, and capital improvements. The Project Support Coordinator will work closely with design project managers and construction managers, providing support in all aspects of project management. This includes preparing written documents, overseeing the review of specifications and drawings, and ensuring effective communication among project stakeholders. In this position, the coordinator will utilize the University of Iowa's consultant and construction standard agreements, as well as professional services procurement procedures and project management control processes. The role requires maintaining accurate project files, data, manuals, warranty documents, and contract documents. The coordinator will also be responsible for generating and maintaining updates to various tracking metrics, such as reconciled budgets and project information lists, ensuring that all project data is current and accessible. The Project Support Coordinator will coordinate multiple tasks, prioritize activities, and provide clear and timely feedback to project team members. This position requires excellent listening and reasoning skills, as well as the ability to distribute information schedules and work plans effectively. The role is based at the University Services Building (USB) and follows a Monday to Friday schedule from 8 am to 4:30 pm. The position also allows for a combination of on-campus and remote work, with remote work being performed within the state of Iowa and in compliance with the university's remote work policies.

Responsibilities

  • Assist project managers with contract awards using UI consultant and construction standard agreements.
  • Maintain accurate project files, data, manuals, warranty documents, and contract documents.
  • Generate and maintain Build UI updates to various tracking metrics such as reconciled budgets and project information lists.
  • Coordinate multiple tasks and prioritize activities effectively.
  • Provide honest, clear, and timely feedback to project team members.
  • Distribute information schedules, work plans, and various informational databases to project team members and stakeholders.

Requirements

  • Bachelor's degree or an equivalent combination of education and experience.
  • Professional experience (typically 6 months-1 year) of related administrative experience.
  • Experience in an institutional or other complex customer environment.
  • Excellent written and verbal communication skills.
  • Understanding of design and construction industry, including terms and procedures.
  • Experience administratively supporting multiple individuals in a fast-paced, multi-task environment.
  • Working proficiency in computer software applications, including Microsoft Office programs.
  • Professional experience working effectively with individuals from a variety of backgrounds and perspectives.

Nice-to-haves

  • Six months - 3 years of experience in the design and construction industry, including experience understanding contracts and/or project manual specifications.
  • Experience working with Architectural and Engineering documents.
  • Experience in a higher education facilities management or complex institutional organization.
  • Experience with applications such as SharePoint, Bluebeam, and/or Adobe.
