About the position

The Project Administrator/Coordinator will play a crucial role in supporting the Gas and Restoration teams across UNY by managing and processing invoices, tracking contractor performance, and ensuring compliance with various administrative tasks. This position is essential for maintaining efficient operations and ensuring that all financial and performance metrics are met. The role requires a proactive approach to managing invoices and reporting, as well as fostering strong relationships with contractors to enhance productivity and safety. The typical work schedule is Monday through Friday from 7:00 am to 3:30 pm, and the position is hybrid, based in Albany, NY. In this role, the Project Administrator/Coordinator will be responsible for the daily management of invoices, providing regular reports on key performance indicators (KPIs) such as paving cycle time and customer complaints. The individual will monitor the backlog of orders and aged invoices, providing performance reports to drive contractor performance. Additionally, the coordinator will assist National Grid supervisors with various administrative tasks, including compliance checks and tracking savings initiatives. The position also involves managing the restoration aging invoice dashboard and creating service sheets to ensure timely payments. The coordinator will monitor contractor safety, performance, and productivity, making necessary adjustments to maximize efficiency and cost-effectiveness. Furthermore, the role includes monitoring data within work management systems and correcting errors as needed, as well as participating in the development and implementation of systems that support the paving process. Overall, this position is vital for supporting the Gas Construction and Restoration teams in maintaining safety, compliance, and performance expectations.

Responsibilities

  • Manage and process invoices daily.
  • Provide daily/weekly reports on KPIs such as paving cycle time and customer complaints.
  • Monitor backlog of orders and aged orders, providing performance reports to drive contractor performance.
  • Assist National Grid supervisors with administrative tasks, including Operator Qualification compliance checks and tracking savings initiatives.
  • Manage restoration aging invoice dashboard and service sheet creation for timely invoice payments.
  • Monitor contractor safety, performance, productivity, and workload to maximize efficiency and cost-effectiveness.
  • Monitor data within work management systems and correct errors as needed.
  • Foster cooperative working relationships with contractors.
  • Participate in the development and implementation of systems and technologies that support the paving process.
  • Support Gas Construction and Restoration teams to maintain safety, compliance, and performance expectations.

Requirements

  • Bachelor's degree required.
  • 2+ years of experience with data analysis and reporting preferred.
  • 1+ year of experience managing departmental financials to ensure budgetary guidelines are met preferred.
  • Experience or knowledge of paving/gas construction preferred.
  • Experience working with engineering, construction & maintenance practices, gas utilization equipment, and Federal, State, and Municipal Codes preferred.
