About the position

The Projects Administrative Coordinator at CHI Health Clinic plays a vital role in supporting clinic operations by performing various administrative tasks that directly impact front-line workers. This position is essential for ensuring smooth operations within the clinic, which offers a wide range of services from primary to specialty care, including walk-in and virtual services. The coordinator will be based at the Creighton Bergan Medical Center and will be responsible for managing schedules, preparing presentations, and tracking important data related to clinic operations. In this role, the coordinator will schedule meetings, provider calls, and training sessions for both front-line workers and clinic leadership. They will also prepare necessary documentation such as presentations, agendas, and reports for clinic leadership, ensuring that all information is organized and accessible. The coordinator will track various data points, including PTO, call schedules, and turnover rates, which are crucial for maintaining operational efficiency. Additionally, the Projects Administrative Coordinator will support provider and clinic leadership through calendar coordination, manage reimbursements via Concur, and assist with Kronos reconciliation. They will also help coordinate and support new or ongoing clinic projects, programs, and grants, resolving any issues that may arise related to IT, onboarding, or scheduling conflicts. This position requires a proactive approach to problem-solving and a commitment to process improvement, making it an integral part of the clinic's administrative team.

Responsibilities

  • Schedules meetings, provider calls, and/or training sessions for front line workers and/or clinic leadership.
  • Prepares presentations, agendas, and/or reports for clinic leadership.
  • Tracks data regarding PTO, call schedules, and turnover.
  • Supports provider and clinic leadership through calendar coordination, Concur reimbursements, and Kronos reconciliation.
  • Helps coordinate/support new or ongoing clinic projects, programs, and/or grants.
  • Resolves issues upon request relating to IT, onboarding, and scheduling conflicts.
  • Performs other duties as assigned.

Requirements

  • Associates degree in management or healthcare related field or 1-2 years' experience managing projects of varying size and complexity.
  • Demonstrates strong working knowledge of MS Office Suite (Outlook, PowerPoint, Word, and Excel or Google versions).
  • Excellent written, interpersonal, and oral communication skills.
  • Proven track record in project management; implementation from concept to execution is highly desirable.
  • Excellent problem-solving skills.
  • Self-motivated with a focus on process improvement preferred.
