About the position

The Projects Coordinator in Operations at HCVT plays a crucial role in executing various projects that impact the firm's business performance and people operations. This position requires an organized and motivated individual who can work independently under tight deadlines, anticipate potential issues, and proactively address them to ensure project success. The role involves creating and maintaining project documentation, coordinating events, managing data, and providing administrative support, all while fostering a collaborative team environment.

Responsibilities

  • Create and maintain comprehensive project documentation, including tracking spreadsheets, reports, and feedback.
  • Create project templates in Word, Excel, and Adobe.
  • Provide regular status updates to team members and stakeholders.
  • Be proactive in following up on outstanding items and tasks to ensure projects are completed in a timely manner.
  • Research and contact vendors for firm events and webinars.
  • Handle logistics for firm events including scheduling, communication, and production.
  • Play an active role in executing initiatives for various committees such as Community Service, Women's Initiative, and Diversity Equity and Inclusion (DEI).
  • Analyze existing operations and workflows to identify areas for improvement.
  • Organize and update various data sets and reports.
  • Handle routine/recurring tasks requiring a high level of confidentiality.
  • Schedule meetings and maintain detailed notes providing meeting minutes when necessary.
  • Assist in other areas of the firm, as needed.

Requirements

  • Bachelor's Degree or equivalent experience.
  • 1-2 years of experience in a similar role.
  • Previous work experience at a professional services firm (accounting, law firm, etc.) is a plus.
  • Proficient in Microsoft Suite (particularly Word, Excel, and Outlook).
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage and complete multiple tasks in a fast-paced environment.
  • Demonstrate sound professional judgment, problem solving, and critical thinking skills.

Nice-to-haves

  • Experience in event coordination.
  • Familiarity with Diversity, Equity, and Inclusion (DEI) initiatives.
  • Experience in data management and analysis.
