About the position

Goodwill Industries of Kentucky is seeking a motivated and dynamic Property and Facilities Support Specialist to join our team. This role is essential in assisting the Property and Facilities department across the state with daily operations. The specialist will provide general administrative support, manage and maintain data related to Goodwill's real estate portfolio, and ensure that the department functions smoothly. The Property and Facilities Support Specialist will be responsible for supporting the day-to-day operations of the department, which includes tasks such as data entry into the Computerized Maintenance Management System (CMMS), maintaining digital filing systems, and preparing regular facility management reports. The specialist will also handle correspondence, schedule meetings, and serve as a gatekeeper for communication directed to senior management. Ensuring a safe and clean work environment is a priority, and the specialist will help establish and implement policies and procedures to maintain order and efficiency within the department. This role requires a proactive approach to problem-solving and the ability to identify areas for improvement within facility management processes. The successful candidate will be expected to travel to other locations as needed, contributing to the overall effectiveness of the Property and Facilities department.

Responsibilities

  • Support the day-to-day functioning of the department, ensuring that administrative processes run smoothly.
  • Support Computerized Maintenance Management System (CMMS) data entry and other record-keeping tasks.
  • Provide regular facility management reports to management and identify areas for improvement.
  • Maintain digital filing systems and ensure the proper retention, protection, and disposal of facility management records.
  • Provide support to staff and management, including handling correspondence, preparing documents, and scheduling meetings.
  • Serve as gatekeeper for mail, telephone calls, and information requests, diverting these from the President/CEO and COO when appropriate.
  • Ensure a safe and clean work environment.
  • Establish and implement department policies and procedures to maintain order and efficiency.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Two to three years' experience in an office setting.
  • Facility Management support experience preferred.
