About the position

Charlesgate Property Management is seeking a dedicated Property Management Assistant/Concierge for our East Boston Property growing team. The ideal candidate will possess at least 2 years of strong property management customer service expertise, demonstrating a proven record of guest service excellence and a clear understanding of best-in-class practices. This role is essential in maintaining a welcoming environment for residents, visitors, and vendors, ensuring that all interactions reflect the high standards of our company. The successful candidate will thrive in a fast-paced environment, showcasing excellent communication skills and a passion for providing exceptional customer service. In this position, you will be responsible for greeting residents, visitors, and vendors upon arrival, ensuring that all guests who do not reside in the building are logged appropriately. You will maintain various logs and records related to building operations, ensuring that shift notes and communication are clear and comprehensive. Additionally, you will manage the key log for vehicles parked in the garage and assist with package deliveries for residents, maintaining a delivery log and ensuring that all packages are handled with care. Your role will also involve providing resident services as directed by management, updating schedules for resident move-ins and outs, and conducting routine inspections of common areas to ensure they are well-maintained. You will monitor security systems and respond to emergencies as necessary, always representing the company in a professional manner. This position requires a commitment to maintaining a courteous attitude and professional appearance while interacting with residents, coworkers, and the general public. You will also assist the Maintenance Team with trash and recycling as needed, ensuring that all areas of the property are secure and safe.

Responsibilities

  • Greet residents/visitors/vendors upon arrival and log guests who do not live in the building.
  • Maintain logs, updates, files, and relevant computer and/or paper log systems related to building operations.
  • Manage the key log for cars parked in the garage.
  • Answer phones and greet prospects professionally.
  • Accept packages for residents and maintain the delivery log, assisting with package delivery as needed.
  • Provide resident services as directed by management.
  • Update schedules for resident move-ins/outs and elevator usage in coordination with the supervisor.
  • Provide new residents with orientation to the community and services offered.
  • Assist with filing documents and auditing daily activity transactions as time permits.
  • Conduct routine inspections of common areas to ensure they are maintained appropriately.
  • Monitor security systems and ensure the property is secure and safe.
  • Contact public service organizations in case of emergencies and follow emergency procedures.
  • Represent the company professionally and maintain a courteous attitude and attire.
  • Assist the Maintenance Team with trash and recycling as needed.
  • Monitor intercom and camera security systems.

Requirements

  • At least 2 years of front desk concierge property management or hotel concierge experience.
  • Highly proficient in English with outstanding customer service skills.
  • Associate degree required; Bachelor's degree strongly preferred.
  • Excellent organizational and recordkeeping skills.
  • Highly proficient with Microsoft Office and Google applications.
  • Superb attention to detail and ability to prioritize multiple tasks.
  • Ability to exercise good judgment and apply initiative in various situations.
  • Excellent time management skills and ability to handle front desk responsibilities.

Nice-to-haves

  • Experience with Yardi software is a plus.
