About The Position

Requirements

  • Strong communication skills to interact effectively with tenants, vendors, and team members.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Basic understanding of maintenance and repair processes.

  • Experience in vendor management and contractor coordination.
  • Knowledge of accounting processes related to invoice management.
  • Familiarity with online task management systems.

Responsibilities

  • Utilize the Buildium software system to efficiently process and review maintenance requests, ensuring timely resolution and tenant satisfaction.
  • Schedule and coordinate with contractors and vendors to assess and repair maintenance issues promptly, maintaining the quality and integrity of properties.
  • Proactively communicate with tenants to provide updates on maintenance progress and ensure their needs are met promptly and effectively.
  • Follow up with vendors to obtain invoices, verify accuracy, and submit them to the Accounting department for processing, ensuring timely payment and proper documentation.
  • Work closely with the Accounting department to reconcile invoices, ensure payments are processed efficiently, and close out tasks in the system accurately.
  • Manage the online task management system to track and prioritize marketing initiatives, ensuring timely execution and alignment with business goals.
  • Assist in scheduling rental showing appointments as needed, facilitating seamless communication between tenants, prospective renters, and the leasing team.
  • Support the leasing process by processing applications and lease paperwork as needed, ensuring compliance with regulations and company policies.
  • Provide administrative support, including answering office phones, responding to inquiries, and assisting with day-to-day tasks to ensure smooth office operations.
