The Property Manager role is pivotal in ensuring that properties are well-managed and maintained, with a strong focus on tenant satisfaction, environmental health and safety, and adherence to the owner's goals and objectives. This position requires a proactive approach to building relationships with property owners and senior management, ensuring that the performance of real estate assets aligns with strategic objectives. The Property Manager will be responsible for developing and implementing policies and procedures that enhance the management of the property. This includes preparing and presenting the annual operating budget, overseeing financial reporting, and ensuring compliance with safety programs. The role also involves direct oversight of on-site staff, including setting performance goals, conducting evaluations, and making recommendations for promotions and compensation. The Property Manager will play a key role in vendor management, including the selection and negotiation of service contracts, and will be responsible for monitoring vendor performance to ensure compliance with established standards. In addition to these responsibilities, the Property Manager will conduct regular site visits and inspections, ensuring that all properties within the portfolio are operating efficiently and effectively. The role requires a strong understanding of leasing and construction management, as well as the ability to develop marketing programs and conduct market surveys to support leasing objectives. Overall, the Property Manager is expected to maintain a positive image and foster a collaborative environment both internally and externally, contributing to the overall success of the properties managed.

Responsibilities

  • Assist in solidifying positive relationships with owners by being proactive and responsive to their needs and requests.
  • Assist senior management in understanding and working with clients to determine goals and objectives for the performance of real estate assets.
  • Assist Vice President and Portfolio Manager in developing and implementing recommendations to position the property for maximum value.
  • Prepare and report information in a timely manner to designated staff as set forth by Newmark and property owners.
  • Create and develop upgrades to services provided by the company to exceed client expectations.
  • Develop and implement staffing plans and job descriptions for assigned sites, promoting continuous education for on-site personnel.
  • Prepare, present, and oversee the annual operating budget and monthly financial reporting package.
  • Review and approve all annual lease reconciliations and estimates.
  • Establish goals and objectives for on-site staff performance and ensure timely and efficient completion.
  • Prepare employee evaluations and make recommendations for promotions and compensation.
  • Develop a resource plan with accountability for delivering completed projects within budgets and schedules.
  • Prepare lease abstracts and may have final approval authority for lease documents.
  • Review specifications for service contracts and oversee vendor performance to ensure compliance with service agreements.
  • Review and approve payables and receivables prepared at the site level.
  • Supervise accounting output as required by the property.
  • Conduct weekly site visits to review policies, procedures, and personnel performance.
  • Perform quarterly inspections of all properties in the portfolio.
  • Ensure compliance with fire, life safety, and other safety programs in accordance with the Environmental Health and Safety Act.

Requirements

  • Bachelor's Degree in business or a related field.
  • RPA and CCIM or CPM certification required.
  • Minimum of 8 years' experience in property operations.
  • Knowledge in all aspects of business including leasing and construction management.
  • Experience managing a portfolio of three or more projects with direct reports.
  • Valid real estate license in states that require it.
