About the position

The Property Manager is responsible for overseeing the day-to-day operations of a residential community, ensuring that high-quality standards are met while fostering excellent relationships with residents. This part-time position requires a proactive approach to property management, emphasizing teamwork and organizational morale. The Property Manager will engage in various tasks, including conducting property tours for prospective residents, managing documentation for lease renewals and new move-ins, and ensuring the property maintains its curb appeal. The role also involves monitoring preventative maintenance schedules, supervising daily maintenance activities, and conducting quarterly inspections of both the exterior and interior of buildings, including apartment homes. In addition to these responsibilities, the Property Manager will implement safety and security programs, manage the issuance and control of property keys, and process move-out charges and related paperwork. The position requires maintaining proper control of materials and supplies, adhering to operating budgets, and following company policies and procedures. The Property Manager will also be responsible for securing bids for expenditures over $50, entering purchase orders in the Yardi system, and ensuring that the Yardi program is kept up to date with current property information. The role includes financial responsibilities such as collecting rent, security deposits, and application fees, preparing deposits for bank drop-off, and entering transactions in Yardi within 24 hours of receipt. Building and maintaining relationships with residents and vendors is crucial, as is creating a team environment among staff. Regular meetings will be held to coordinate work and achieve objectives, along with maintaining scheduled resident/community meetings to enhance resident retention and advertise community vacancies. The Property Manager will also assist in training staff and reconciling petty cash by the 25th of each month, ordering supplies as needed, and leading, coaching, and motivating maintenance staff proactively. Other duties may be assigned as necessary by HRM Services.

Responsibilities

  • Provide tours to prospective residents and complete guest cards while keeping traffic logs.
  • Answer phone calls and emails promptly.
  • Collect all required documentation and verifications for lease renewals and new move-in files and submit to compliance for approval.
  • Ensure the curb appeal of the property is maintained.
  • Monitor preventative maintenance schedules and supervise daily maintenance activities.
  • Conduct quarterly inspections of both the exterior and interior of buildings, including apartment homes.
  • Implement safety and security programs for the property.
  • Manage the issue and control of keys to the property.
  • Process move-out charges and paperwork and submit to the home office.
  • Document incidents that occur on the property and maintain proper control of materials and supplies.
  • Comply with operating budgets and follow HRMS policies and procedures.
  • Secure bids for expenditures over $50 and submit to the supervisor, following Yardi procedures for entering purchase orders.
  • Keep the Yardi program up to date with all current property information and achieve effective knowledge of software programs.

  • Attend training as directed by the supervisor/home office and assist Accounting and HR in following policies and procedures in accordance with company guidelines.

Requirements

  • Property management experience is required.
  • Proficiency in using Yardi software is preferred.
