About the position

The Property Manager is responsible for overseeing the management of affordable housing apartment communities, ensuring compliance with HUD regulations and maintaining high occupancy rates. This role requires proven competence in completing income certifications and managing the complexities of HUD paperwork. The ideal candidate will have experience in managing and leasing multi-family properties, along with relevant certifications such as ARM, CAM, or NALP. The Property Manager will be tasked with converting telephone and walk-in prospects into leases, effectively communicating with existing residents, and establishing a successful renewal program. This position also involves preparing weekly and monthly reports, managing office clerical tasks, and striving to meet residents' needs. Key responsibilities include marketing the property by responding to inquiries, conducting apartment showings, and maintaining a high call-to-show ratio. The Property Manager will also be responsible for lease administration, including performing move-in inspections, maintaining legal records, and managing resident relations by addressing service requests and complaints. Financial responsibilities include operating within budgetary guidelines, collecting and recording rental payments, and preparing reports as required. The role requires direct supervision of office staff and maintenance personnel, ensuring compliance with safety standards, and maintaining a professional appearance and attitude at all times. The Property Manager will work closely with the Regional Property Manager and other staff members, vendors, and service providers. The position requires flexibility in hours, as the manager must be on-call 24 hours per day when scheduled. Physical demands include the ability to walk the property, perform inspections, and lift up to 60 lbs. Candidates must have a reliable vehicle and proof of liability insurance, and may be required to live on the property.

Responsibilities

  • Convert telephone and walk-in prospects to leases, maintaining and increasing occupancy.
  • Respond effectively to telephone inquiries to generate prospective resident visits.
  • Show and demonstrate apartments, utilizing sales skills to close prospects.
  • Maintain a call to show ratio of at least 65%.
  • Follow up with prospective residents and monitor traffic at the property.
  • Conduct required credit and reference checks and set up lease files.
  • Encourage resident retention through contact on renewal reports and implement retention programs.
  • Perform move-in inspections and review the Welcome Packet with new residents.
  • Prepare and process resident service requests and assist with resident problems.
  • Collect, record, and deposit rental payments and maintain account records.
  • Direct supervision of office staff and bookkeeping functions.
  • Conduct daily physical inspections of the property and supervise maintenance personnel.

Requirements

  • Proven competence in completing income certifications and managing affordable housing apartment communities.
  • Experience in managing/leasing multi-family properties.
  • Certification in multi-family property management (ARM, CAM, NALP, etc.).
  • Bookkeeping experience and ability to communicate effectively.
  • Safety-conscious and ability to assert oneself.
  • Detail-oriented with the ability to work well under pressure.
  • Self-motivated and able to work with/without direct supervision.
  • Ability to become a team leader.

Nice-to-haves

  • Experience with HUD, RD, or Tax Credit regulations is preferred.
  • Two years of college education is preferred.
