About the position

JMF Development LLC is seeking a dynamic and experienced Property Manager to join our team in Downtown Los Angeles. Established in 1994, JMF Development is a reputable real estate development and property management company that manages a diverse portfolio, including office and apartment buildings, raw land for development, and high-end residential beach home rentals in Malibu, CA. The Property Manager will play a crucial role in overseeing the daily operations and project management of our real estate portfolio, ensuring that all properties are maintained to the highest standards and that tenant needs are met efficiently and effectively. The Property Manager will report directly to the Asset Manager and will be responsible for coordinating and overseeing maintenance teams, managing a short-term rental home portfolio in Malibu, and facilitating film shoots throughout the real estate portfolio. This position requires a self-motivated and trustworthy individual who can handle multiple tasks and projects while maintaining professionalism and flexibility. An interest in real estate, marketing, or related business is beneficial for this role. Key responsibilities include responding to building emergencies, coordinating routine and emergency services, overseeing capital improvement projects, managing guest bookings and inquiries for short-term rentals, and ensuring compliance with lease agreements. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to manage various projects in a fast-paced environment. Strong communication skills are essential, as the Property Manager will be the point of contact for tenants and guests, and will need to manage correspondence effectively.

Responsibilities

  • Respond to building emergencies, including outside of regular business hours.
  • Coordinate all routine and emergency services for the properties, including gardening, landscaping, cleaning schedules, plumbing, electrical, pool, spa, HVAC, and other repairs and maintenance.
  • Coordinate, bid, and oversee capital improvement projects.
  • Act as the point of contact for short-term rental properties in Malibu, CA, including responding to guest bookings and inquiries via Airbnb, VRBO, etc.
  • Coordinate with vendors for repairs, cleanings, maintenance, and perform check-ins and check-outs for guests.
  • Conduct walk-throughs after guest check-outs and document any damages to the property.
  • Bid, negotiate, and manage service contracts with outside vendors to achieve high performance at low costs.
  • Oversee maintenance workers' schedules and tasks.
  • Oversee the day-to-day operations of short-term property rentals and regular rentals.
  • Keep track of and maintain inventory of all items within the portfolio.
  • Manage general inquiry messages and emails from guests and clients, and coordinate and distribute correspondence accordingly.
  • Support the Asset Manager as needed, including assisting with day-to-day operations, scheduling, and other duties.
  • Enforce the terms of all lease agreements, billing, and collection of rents, and other tenant charges in compliance with lease terms.
  • Manage all aspects of lease administration to ensure critical date master scheduling, lease notifications, and renewal notices.
  • Prepare and analyze variances on monthly financials, operations analysis, and leasing activity reports for all locations; review and approve all reporting from the properties before presenting these to the Asset Manager.
  • Handle confidential tasks and additional projects as assigned.

Requirements

  • 3+ years of prior experience as a Property Manager.
  • Excellent organization skills, attention to detail, strength in time management, and prioritization.
  • Ability to make decisions and adjust to changes while maintaining composure and managing other tasks and projects.
  • Experience with independent projects as well as working with teams.
  • Ability to juggle multiple projects and schedules, and must be able to meet deadlines in a fast-paced quick changing environment.
  • Ability to take direction, facilitate, plan and remain calm under pressure.
  • Strong writing skills with the ability to compose letters, emails, and responses.
  • Ability to manage the demands of a variety of situations and people.
  • General experience in maintenance and repairs in the operation of electrical, plumbing, HVAC, and other essential household systems.
  • Possess a wide range of general office and administrative skills with the ability to maneuver through fluctuating priorities.
  • Excellent computer and technical skills: Outlook, Word, PowerPoint, Excel, office systems, web applications, and office equipment.
  • Ability to pick up on and implement new technologies quickly and efficiently.
  • Valid Driver's License and personal vehicle for use as needed.
  • Capacity to work outside of 9:00 am - 6:30 pm working hours and to work on weekends.
