About the position

Vesta Realty is seeking a dedicated Property Manager to oversee the operations and maintenance of our properties in Oklahoma City. The Property Manager will play a crucial role in ensuring that the property operates in the best interest of the owner while maximizing net operating income and maintaining high occupancy rates. This position requires a hands-on approach, as it is not remote and involves daily physical inspections of the community to identify and address potential issues promptly. The Property Manager will be responsible for directing and monitoring staff functions, ensuring that all work is completed thoroughly, timely, and cost-effectively. This includes hiring, training, and managing staff, as well as maintaining confidential employee files and processing time sheets. The role also involves developing and implementing effective resident retention programs, maintaining good resident relations, and ensuring compliance with lease agreements and property rules. The Property Manager will work closely with the Supervisor to develop ongoing training programs and will be expected to stay informed about market conditions and trends to enhance the property's competitive edge. In addition to operational responsibilities, the Property Manager will assist in setting up marketing and advertising programs, conduct regular market surveys, and maintain professional contacts within the area. The position requires strong customer service orientation, managerial skills, and the ability to exercise good judgment in various situations. The Property Manager will also be responsible for preparing weekly and monthly reports and ensuring that all accounts payable are accurate and submitted on time.

Responsibilities

  • Maximize Net Operating Income and maintain high occupancy.
  • Maintain proper and adequate staffing, schedule workloads and vacation time of employees.
  • Direct, monitor and evaluate work performed by employees and contracted services.
  • Maintain confidential employee files and process time sheets of employees.
  • Work with Supervisor to develop and arrange on-going training for self and staff as needed.
  • Implement effective resident retention programs, i.e., move-in, and service follow up.
  • Maintain good resident relations.
  • Review all pertinent verifications and lease applications for approval.
  • Process lease applications as needed.
  • Monitor delinquencies, initiate and process three- and seven-day notices, and legal proceedings for evictions as needed.
  • Ensure residents are not violating the lease, property rules, or policies of the company and the community.
  • Learn and implement the policies and procedures of the company.
  • Ensure all Accounts Payable are accurate and submitted in a timely manner.
  • Stay abreast of market conditions and trends.
  • Conduct regular market surveys and maintain all related information on the competition.
  • Develop and maintain professional contacts within the area and participate in public relations activities.
  • Assist in setting up marketing and advertising programs with Supervisor.
  • Perform daily physical inspection of the community.
  • Routinely inspect the entire community to detect potential problems.
  • Inspect curb appeal, offices and models daily.
  • Analyze signage for appearance, effectiveness and inspect at least weekly.
  • Ensure all prospect traffic, i.e., phone, written, and walk-in traffic is handled in a way to maximize current and future occupancy.
  • Review for approval and/or personally prepare and process all move-in, move-out documents and renewals.
  • Prepare all weekly and monthly reports and submit to Supervisor.
  • Provide information to various relocation departments and agencies - make occasional personal contact.
  • Be courteous to all residents and prospects and present a professional image.
  • Perform other duties as assigned by Supervisor.

Requirements

  • Strong customer service orientation and managerial skills.
  • Ability to carry a cell phone and respond to emergencies.
  • Ability to exercise good judgment.
  • Good communication skills, both oral and written.
  • Basic math skills and office and computer skills.
  • Knowledge of, or ability to learn, advertising and marketing tactics to maximize occupancy.
  • Knowledge of, or ability to learn, Federal, State, and Local Laws pertaining to Landlord/Tenant Laws.
  • Valid Driver's License and reliable transportation.
  • Ability to climb stairs, walk, bend, grasp, and lift up to 25 lbs.
