About the position

The Property Supervisor/Community HOA Manager is responsible for overseeing and managing a portfolio of facilities, ensuring their efficient operation and maintenance. This role involves developing strong relationships with clients, coordinating Board Meetings, conducting property inspections, and providing consulting recommendations on various property management matters. The position requires strong organizational skills and the ability to respond promptly to client needs and concerns.

Responsibilities

  • Oversee and manage a portfolio of facilities, ensuring their efficient operation and maintenance.
  • Coordinate and attend Board Meetings.
  • Develop and maintain strong relationships with clients, addressing their needs and concerns promptly.
  • Conduct property inspections per contracted frequency.
  • Provide advice and consulting recommendations regarding policies & procedures, property maintenance, administration, financial planning & management, delinquent account management, and maintenance objectives.
  • Manage vendors to ensure compliance with city, state, and all regulations.
  • Negotiate contracts with vendors and service providers to ensure cost-effective solutions.
  • Respond to all Board and Homeowner communications within 48 hours.
  • Utilize Appfolio System to track and manage work orders and maintenance activities.
  • Conduct regular inspections of facilities to identify maintenance needs and address them in a timely manner.
  • Act as intermediary with owner/residents and all other staff to assist in prompt response to questions/problems.

Requirements

  • High School Diploma or GED required.
  • 3 years of customer service experience required.
  • 1 year of experience in document management and property management preferred.
  • Strong customer relationship management skills.
  • Excellent organizational skills to manage multiple facilities and tasks simultaneously.
  • Knowledge of property management principles and practices.
  • Strong administrative skills, including data entry, filing, and document management.
  • Ability to negotiate contracts with vendors and service providers.
  • Strong capabilities to multi-task.

Nice-to-haves

  • Experience with financial and accounting tasks preferred.
  • Knowledge of Community Management preferred.
