About the position

The Proposal Coordinator at Prime Partners Engineering plays a crucial role in developing and implementing procurement strategies for various projects. This position involves managing vendor relationships, writing technical responses to RFPs, conducting market research, and ensuring compliance with procurement regulations. The coordinator will also be responsible for preparing reports on procurement activities and coordinating employee participation in industry events to enhance company visibility.

Responsibilities

  • Develop and implement procurement strategies for each project, considering project requirements, resources, and timelines.
  • Identify, evaluate, and select suppliers and subcontractors, negotiating terms and conditions to secure favorable agreements.
  • Write technical responses to RFPs, collaborating with engineers and project managers to understand specific processes.
  • Conduct market research to identify potential opportunities and prepare responses for RFPs and RFQs.
  • Draft, review, and manage procurement contracts and agreements, ensuring compliance with legal and company requirements.
  • Collaborate with project teams to ensure that procured materials and services meet quality and regulatory standards.
  • Identify and mitigate procurement-related risks, such as supply chain disruptions or cost overruns.
  • Maintain accurate procurement records, including purchase orders, contracts, and supplier performance evaluations.
  • Prepare regular reports on procurement activities, including cost analysis and performance metrics.
  • Ensure adherence to all relevant laws, regulations, and company policies throughout the procurement process.
  • Identify and coordinate relevant conferences for employee participation and attend networking events to promote company visibility.

Requirements

  • Bachelor's degree in Business, Supply Chain Management, or a related field.
  • 2+ years of experience in project procurement, with a solid understanding of best practices.
  • Proven experience as a procurement specialist, preferably in a project-based environment.
  • In-depth knowledge of procurement principles, practices, and regulations.
  • Strong negotiation and contract management skills.
  • Excellent analytical and problem-solving abilities.
  • Proficiency in procurement software and Microsoft Office Suite.
  • Effective communication and interpersonal skills.
  • Detail-oriented with a strong commitment to accuracy.
  • Ability to work independently and as part of a team in a fast-paced environment.
