About the position

Next Phase Solutions and Services, Inc. is seeking an experienced Proposal Coordinator to manage the end-to-end proposal process, ensuring high-quality and compliant submissions that meet client needs and align with organizational goals. This role is essential for coordinating resources, analyzing RFPs, and collaborating with various teams to produce effective proposals in a hybrid work environment.

Responsibilities

  • Manage proposal development, including scheduling, resource coordination, and content preparation
  • Collaborate with various teams to gather and structure content that aligns with client requirements
  • Analyze RFPs and related documentation to ensure compliance and accuracy in proposals
  • Coordinate proposal reviews and approvals, track progress, and meet deadlines for timely submission
  • Document proposal outcomes and feedback to support continuous improvement efforts
  • Support Proposal Manager as directed
  • Support Marketing and Communications Lead as directed
  • Follow company proposal processes
  • Update company proposal processes as the company continues to grow
  • Track proposal status internally
  • Participate in the proposal development, including RFP distribution and review; writing assignments; kick-off, status, and review meetings; and production
  • Coordinate with internal groups (i.e., contracts, accounting, and technical managers and staff to address proposal requirements)
  • Coordinate/manage proposal meetings
  • Develop templates, qualification matrices, proposal schedules, storyboards, mock-ups, and graphics
  • Proposal editing, formatting, and compliance check
  • Aid in the development of marketing materials and press releases

Requirements

  • Proven experience in the development of government proposals
  • Shipley Proposal Methodology experience
  • Experience and ability in all phases of government proposal development and production
  • Detail-oriented work ethic and ability to pivot quickly between assignments and manage multiple assignments simultaneously
  • Excellent oral and written communication skills
  • Mastery of English grammar, mechanics, and usage
  • Advanced computer skills (Word, Excel, Access, Adobe Acrobat, PowerPoint, Visio, etc.)
