The Proposal/Marketing Coordinator at Rudolph & Sletten is a pivotal role responsible for the comprehensive planning, collaboration, and preparation of business development materials. This includes the creation of information packages, prequalification documents, proposal packages, and presentation materials, all under the guidance of the Marketing/Business Development Manager. The position is characterized by a high-pressure environment with strict deadlines, necessitating a strong ability to multitask effectively. The coordinator will ensure the quality and timeliness of all deliverables, working closely with various internal stakeholders such as other Marketing Coordinators, Business Development Executives, Vice Presidents, Project Executives, Project Managers, Estimators, and external consultants as needed throughout the proposal and interview preparation process. In this role, the coordinator will independently manage the proposal production process, ensuring that all materials adhere to the company's branding, formatting, and content standards. Collaboration is key, as the coordinator will work with team members across different regions and external consultants to prepare compelling proposals and interview materials. The coordinator will also oversee the writing, quality control, and editing of proposal content, contributing to the continuous improvement of the proposal and interview materials. Additionally, the Proposal/Marketing Coordinator will assist Business Development Executives and other senior staff with inputting data into the Microsoft Dynamics 360 database for tracking business development leads. Maintaining and managing project information and employee resumes within the CRM database is also a critical responsibility. The coordinator will collaborate with Corporate Communications to manage the photography database and ensure the local maintenance of marketing equipment and supplies for proposals. Participation in special events and weekly departmental conference calls is expected, along with any additional duties assigned by the Marketing/BD Manager or Business Development Executives.
