About the position

The Proposal Specialist at Ballard Spahr is a key role within the Marketing and Business Development team, responsible for managing responses to requests for proposals (RFPs) in alignment with the firm's strategic goals. This position involves collaboration with various stakeholders, including attorneys and business development managers, to ensure the delivery of high-quality proposals that meet client needs and enhance the firm's competitive positioning. Responsibilities

• Independently manage RFP responses.
• Coordinate with Legal Pricing/Project Management, Risk Management, Finance/Accounting, Human Resources, Information Systems, legal administrative assistants, and partner firms to complete projects.
• Handle Pursuit RFP intake and notify relevant attorneys and Business Development team members.
• Maintain proposal milestones schedule including issue and review dates, kickoff meetings, planning sessions, drafting and review, and delivery dates.
• Ensure a smooth production process and timely delivery of the final product.
• Coordinate the rollout of an experience database.

Requirements

• Bachelor's degree in marketing, business, communications, or writing.
• 3-5 years of experience in a proposal role, preferably in a law firm or professional services firm.
• Strong proficiency with Microsoft Office Suite.
• Excellent writing, editing, and proofreading skills.
• Detail-oriented with the ability to manage multiple priorities and deadlines.
• Solid understanding of the RFP and proposal process in a law firm setting.
