About the position

The Provider Administrative Assistant for Special Immunology plays a crucial role in supporting healthcare providers by managing various administrative tasks. This position focuses on ensuring quality customer service, coordinating clinical and nonclinical activities, and maintaining effective communication with patients and staff. The assistant will handle scheduling, patient financial clearance, and documentation, contributing to the overall efficiency of the healthcare team.

Responsibilities

  • Assess customer's needs and evaluate customer satisfaction.
  • Demonstrate excellent communication skills and provide quality customer service by answering and making telephone calls.
  • Coordinate various clinical and nonclinical administrative activities of providers, including schedules and necessary materials.
  • Schedule office visits, surgical procedures, and ancillary testing according to practice guidelines.
  • Ensure completion of activities related to patient financial clearance, including insurance eligibility and prior authorization.
  • Provide materials for meetings/interviews in a timely manner and complete follow-ups as assigned.
  • Handle administrative issues related to phone calls, ensuring all requests and communications are addressed appropriately.
  • Complete correspondence and administrative paperwork, including typing and processing documents and publications.
  • Coordinate timely submission of grant papers and publications.
  • Perform general office duties and provide backup support for other staff as needed.

Requirements

  • High School Equivalent / GED (Required)
  • 1+ years secretarial experience preferably in a healthcare setting (Preferred)
  • Medical terminology knowledge (Preferred)
  • Demonstrated problem-solving ability (Required)
  • Proficiency in a Windows environment (Required)
  • Excellent verbal and written communication skills
  • Ability to organize and prioritize workload
  • Proven ability to manage multiple tasks simultaneously
  • Basic knowledge of office equipment
  • Experience in a customer service environment
  • Excellent organizational skills
  • Familiarity with Excel, PowerPoint, Microsoft Word, Outlook, Google documents, and teams.
