About the position

The Public Safety Office Manager is responsible for coordinating and overseeing the administrative functions of the Public Safety office, ensuring efficient operations. This role includes managing the motor pool, maintaining key control, overseeing parking passes, and providing training for Communications Officers. The position requires the ability to work under stress and handle confidential information appropriately.

Responsibilities

  • Monitor the Public Safety email account and direct tasks to the appropriate team member.
  • Respond to email inquiries on behalf of the Public Safety Department.
  • Retrieve, classify, and distribute incoming mail.
  • Order office supplies and pay bills while monitoring the Public Safety Budget.
  • Assist in maintaining the lost and found by managing found and recovered property.
  • Update Public Safety web pages as necessary.
  • Participate in the job interview process and maintain employee files.
  • Coordinate fire extinguisher inspections with vendors.
  • Maintain vehicle maintenance files and ensure timely servicing of vehicles.
  • Schedule appointments for vehicle service and cleaning.
  • Maintain the motor pool reservation system for fair vehicle distribution.
  • Complete billing for motor pool usage.
  • Ensure Gator License applicants meet requirements and schedule practical driving exams.
  • Maintain key control for housing and academic buildings.
  • Maintain files in accordance with federal and college retention policies.
  • Enter Uniform Crime Statistics on a monthly basis.
  • Order and issue parking passes, entering pass holder information into Informer.
  • Train Communication Officers on operational systems and act as backup when necessary.
  • File parking tickets and ensure correct billing, coordinating the appeal process.

Requirements

  • Associate's Degree or Bachelor's Degree preferred, or equivalent years of relevant experience.
  • Organizational skills and ability to maintain composure in stressful situations.
  • Ability to work well with a diverse group of colleagues.
  • High level of customer relations ability.
  • Ability to multi-task in a fast-paced environment.
  • Proficiency in databases, computer systems, and Microsoft Office suites.
  • Knowledge of security systems is a plus.
