About the position

The Purchasing Agent/Office Manager will play a crucial role in managing procurement and office operations for an award-winning interior design firm. This position involves developing vendor relationships, overseeing purchasing processes, and ensuring efficient office management to support the design team and enhance client service.

Responsibilities

• Develop and maintain relationships with vendors and suppliers
• Source and negotiate pricing for materials, furniture, and decor
• Coordinate delivery schedules and ensure timely receipt of goods
• Manage inventory and maintain accurate records of purchases
• Handle office administrative tasks such as answering phones, scheduling appointments, and managing correspondence
• Collaborate with design team to ensure purchases align with project requirements
• Provide exceptional customer service to clients and address any purchasing-related issues
• Accept deliveries at office and assist designers with samples organization
• Maintain office printer/mail/supplies as needed
• Work closely with accounts payable to ensure payment to vendors is accurate
• Print and mail checks to vendors
• Credit card reconciliation
• Manage office services

Requirements

• Extremely organized and proficient in Excel and Quick Books Online
• Proficient in Quick Books Online, this is a must
• Knowledge of accounting processes and procedures
• Previous experience in purchasing, procurement, or office management
• Strong negotiation skills and ability to secure competitive pricing
• Excellent organizational and time management abilities
• Proficiency in Microsoft Office Suite and purchasing software
• Knowledge of interior design principles and materials is a plus
• Excellent communication and interpersonal skills
