About the position

The Purchasing Agent position at the Northern Arizona VA Health Care System is responsible for acquiring supplies, services, and construction through various purchasing methods. This role involves conducting purchasing under federal regulations, managing procurement processes, and providing administrative support to ensure timely and accurate procurement of goods and services essential for the organization.

Responsibilities

  • Conduct purchasing under the micro purchase threshold and review purchase requests.
  • Resolve issues to ensure requests and bills are processed accurately and timely.
  • Utilize federal and agency acquisition regulations to identify possible sources for purchases.
  • Track obligations and monitor expenditures to support budget forecasts and identify potential fraud, waste, and abuse.
  • Procure supplies and services to meet organizational needs, developing unique selection criteria for each purchase.
  • Prepare and issue contract modifications for changes in delivery schedules and communicate with various stakeholders.
  • Conduct open market research and sole source small purchases for specialized medical items.
  • Serve as the first line of contact for medical staff and customers regarding procured items.
  • Develop reports and spreadsheets for briefing and presentation purposes.

Requirements

  • U.S. Citizenship is required to apply for this job.
  • Specialized experience equivalent to at least GS-05 level in the federal service, including clerical or assistant duties in support of purchasing and procurement.
  • Experience in procuring supplies and services to meet organizational needs.
  • Ability to resolve discrepancies in shipments, payments, or other procurement-related issues.
  • Proficiency in using automated supply/inventory management systems and Microsoft Office software.

Nice-to-haves

  • Experience working with medical staff to determine procurement needs and priorities.
  • Familiarity with federal procurement policies and procedures.
