About the position

The Purchasing Agent at CoolSys is responsible for managing procurement activities, including handling documentation, maintaining records, and communicating with suppliers. This role is crucial for ensuring efficient purchasing processes and supporting the operational needs of the company across various markets.

Responsibilities

• Handle any required documentation coming in from field service and/or construction coordinators.
• Assist in researching new vendors and comparing competing suppliers.
• Maintain up-to-date and precise records of orders, shipments, inventory, and reports.
• Follow up with suppliers for confirmation of orders.
• Place standard bulk orders that do not require approval (especially indirect purchases).
• Perform administrative assistant work, including making travel arrangements for supplier audits, scheduling meetings with suppliers, and maintaining all required documents.
• Prioritize calls (incoming and backlog).
• Work with Service Managers and customers to address purchasing issues.
• Respond to inquiries and create/distribute required reporting.
• Maintain proactive communication with customers regarding missed SLAs.

Requirements

• Strong computer skills (Excel/Outlook).
• Ability to handle multiple tasks concurrently.
• Stay calm under pressure.
• Excellent verbal and written communication skills.
• Strong sense of urgency and a 'can do' attitude.
• High school diploma with 2-3 years of work experience in procurement/purchasing.
• Demonstrated ability to document and report information essential for resolution and communication with both internal and customers.

Nice-to-haves

• Demonstrated knowledge and skills in purchasing parts for technicians in an assigned service location.
• Ability to problem solve and maintain focus and productivity under pressure.
