About the position

The Purchasing and Contract Specialist role at Hays is designed to support the successful operation of the GMP facility and laboratory functions in Warren, NJ. This position involves collaborating with internal customers and external service providers to achieve project milestones and manage diverse projects. The specialist will independently handle routine tasks, utilize analytical skills to solve problems, and engage in effective communication to influence team direction and build trust.

Responsibilities

  • Support the operation of the GMP facility and laboratory functions.
  • Interact with internal customers and external service providers.
  • Contribute to project milestones impacting cross-functional teams.
  • Provide project management leadership on tasks of moderate scope.
  • Make travel arrangements for management as needed.
  • Order office supplies and prepare check requests.
  • Ship important documents via overnight courier and process invoices for payment.
  • Create purchase orders in Ariba and schedule meetings in Outlook.
  • Coordinate departmental activities and assist staff with software issues.
  • Prepare department meeting minutes and assist with budget tracking.
  • Route and track Capital Appropriation Requests (CAR's) and legal contracts.
  • Input purchase requisitions and track purchase orders and invoices.
  • Maintain project documentation in hard copy and on SharePoint sites.

Requirements

  • BS degree in Business, Science, or Supply Chain.
  • Minimum 3 years of Facilities/maintenance/engineering project coordinating/planning experience, preferably in a biotech environment.
  • Strong written and verbal communication skills.
  • Experience with departmental budget management.
  • Ability to effectively manage multiple tasks and activities simultaneously.
  • Familiarity with FDA and EU environments and associated compliance regulations.

Nice-to-haves

  • Experience with technical writing and document development/generation.
  • Knowledge of accounting principles.
  • Strong working knowledge in computer training systems.
  • Experience with enterprise business systems such as Ariba and SAP.
