About the position

The Purchasing and Operations Assistant at the University of Oregon plays a crucial role in supporting the Information Services department by managing various administrative and clerical functions related to technology purchasing requests. This position involves financial analysis, tracking purchases and payments, and overseeing the procurement process from ordering to delivery. The assistant will also provide guidance to student workers and collaborate with IT staff to meet customer technology purchasing needs.

Responsibilities

  • Handle administrative and clerical functions related to technology purchasing requests.
  • Assist in providing purchasing support including financial analysis and tracking of purchases and payments.
  • Serve as procurement card custodian and process payments, purchase orders, and journal vouchers.
  • Oversee the receiving of all orders and monitor the entire process from ordering to delivery.
  • Follow up with vendors and shippers regarding issues and coordinate delivery of items to support teams.
  • Assist with any needed returns of purchased items.
  • Work in partnership with IT staff to facilitate customer technology purchasing needs.
  • Provide guidance and leadership to one or more student worker positions.

Requirements

  • 12 quarter hours (8 semester hours) of Accounting courses AND an Associates Degree in Accounting; OR one year of experience that includes entering, compiling and/or reporting financial information; OR an equivalent combination of education and experience.
  • Strong working knowledge of Microsoft Office products, including Excel.
  • Excellent problem-solving skills.
  • Ability to work independently as well as in a team-oriented, collaborative environment.

Nice-to-haves

  • Prior experience with purchasing, receiving or accounting.
  • Experience working within a higher education institution.
  • Experience or working knowledge of Microsoft SharePoint.
  • Prior experience and/or knowledge with fund accounting.
