About the position

The Purchasing and Receiving Agent is responsible for managing the procurement and receipt of all products and supplies for the Club. This role involves interacting with vendors, inspecting deliveries, maintaining inventory, and ensuring compliance with health and safety standards. The agent plays a crucial role in supporting the Executive Chef and other departments by ensuring that all necessary items are ordered, received, and stored properly.

Responsibilities

  • Receives and inspects all deliveries by count, quality, and weight/scale.
  • Checks goods to ensure they meet standard quality requirements before accepting delivery.
  • Assures all deliveries match the original purchase order and invoice accurately.
  • Issues goods according to requisitions and stores them in the correct locations.
  • Inspects coolers for proper temperature and labeling.
  • Returns any products in poor condition and informs the Department Head of shortages.
  • Maintains organization and cleanliness of walk-in, freezer, and storeroom areas.
  • Codes items with proper GLs and keeps hard copies of check requests.
  • Processes and completes purchase requisitions from authorized personnel.
  • Assists in maintaining monthly food & beverage inventory and monitors records accordingly.
  • Works with the Executive Chef to establish and maintain pars for food and supply items.
  • Rotates stock using FIFO (first in, first out) method.
  • Labels, dates, and rotates all items in storage.
  • Maintains receiving and storeroom equipment in proper condition.
  • Inspects storage areas and keeps the back dock clean and organized.
  • Assures all storage areas are locked according to Club policies.
  • Acts as a liaison between vendors and club departments.
  • Interacts with vendor personnel regarding shortages and price changes.
  • Helps develop purchasing policies and procedures.
  • Gathers information about market conditions and availability of materials.

Requirements

  • High School diploma or equivalent required; Associate's degree in business and accounting preferred.
  • Two years of experience in the food service business or as a purchasing agent.
  • Strong analytical, negotiating, and product management skills required.
  • Working knowledge of sources of supplies, pricing trends, and quality of materials required.
  • Food safety certification.

Nice-to-haves

  • Experience in purchasing quantity food and food service equipment.
  • Exposure to competitive bidding processes.
