About the position

We are seeking a detail-oriented and organized Purchasing Assistant to support our purchasing department at Cooks Finish Carpentry, Inc. The Purchasing Assistant will play a crucial role in ensuring that materials and supplies are ordered, tracked, and delivered in a timely manner to meet the needs of our production schedule. This position is vital to maintaining the efficiency and cost-effectiveness of our operations, particularly within the construction and carpentry industry. The ideal candidate will have a strong background in purchasing, excellent communication skills, and the ability to manage multiple tasks effectively. In this role, you will assist in placing orders for materials, tools, and supplies based on project requirements and inventory levels. You will be responsible for communicating with vendors and suppliers to confirm order details, negotiate prices, and ensure timely delivery of materials. Monitoring stock levels and updating inventory records regularly will be essential to avoid shortages or overstock situations. Additionally, you will maintain accurate records of purchases, orders, and deliveries, ensuring all documentation is filed correctly and is quickly accessible. Quality assurance is another key aspect of this role, as you will review incoming materials for quality and accuracy, coordinating with the production team to resolve any discrepancies. You will also help research and compare prices from various suppliers to secure the best deals without compromising quality. Coordinating the logistics of incoming shipments, including tracking delivery times and resolving any transportation issues, will be part of your responsibilities. Regular reporting on purchasing activities, including cost analysis, order status, and inventory levels, will be required to keep the team informed. Building and maintaining positive relationships with suppliers and vendors will facilitate smooth procurement processes, and you will provide general administrative support to the purchasing department, including data entry, filing, and responding to internal inquiries.

Responsibilities

Requirements

  • A high school diploma or equivalent is required; an associate degree in business, supply chain management, or a related field is a plus.
  • 6 years of previous experience in a purchasing or procurement role, preferably within the construction or carpentry industry.
  • Extensive knowledge of sheet goods, hardwoods, softwoods, moldings, doors, and door hardware.
  • Experience fabricating and installing the materials listed is a huge plus.
  • Strong organizational and time-management abilities.
  • Excellent communication and negotiation skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and purchasing software.
  • Experience using project management software (Trello or Monday).
  • Attention to detail and accuracy in data entry and documentation.
  • Ability to work independently and as part of a team in a fast-paced environment.
