About the position

The Purchasing Assistant / Inventory role is responsible for providing administrative support to the Purchasing department, ensuring efficient management of inventory and supplier relationships. The position involves monitoring orders, maintaining item records, and resolving discrepancies to ensure accurate inventory levels and timely delivery of goods.

Responsibilities

  • Provide general administrative support to the Purchasing department.
  • Review and maintain item information records, inventory, delivery data, and supplier details.
  • Monitor orders, advance shipping notices and acknowledgements to verify goods arrive on time.
  • Contact current suppliers on a regular basis.
  • Monitor stock levels and identify purchasing needs.
  • Research and resolve discrepancies between actual product and associated documentation.
  • Follow procedures for short shipments, over shipments, damages, and all RMA related issues.
  • Communicate with internal departments to answer questions or explain information.
  • Research delivery errors and make necessary corrections to ensure inventory accuracy.
  • Provide support on various projects and related tasks, suggest solutions and recommendations.
  • Able to communicate with accounting department on payment matters.
  • Assist with the movement of product by investigating and reporting options and initiate action according to customer needs.

Requirements

  • 2+ years of working experience in a Purchasing Assistant role.
  • Good understanding of supply chain procedures.
  • Firsthand experience with purchasing software.
  • Proficiency in MS Excel.
  • Excellent organizational skills.
  • Excellent math skills to make accurate calculations of total costs of ordered items.
  • Strong administration and data entry skills.
  • Strong attention to detail.
  • Excellent communication skills.
  • Ability to multi-task and prioritize workflow.
