About the position

The University of Rochester is seeking a Purchasing Coordinator responsible for managing timely and cost-effective purchases for the university and its services. This role involves creating and administering purchases in accordance with university procurement systems, evaluating product requests, and ensuring supplier performance aligns with established contracts. The Purchasing Coordinator will also engage in customer service, maintain detailed records, and participate in team projects to support purchasing objectives.

Responsibilities

  • Monitor buyer's workbench and requests for purchases in the Integrated Work Management system (IWMS) and/or Enterprise Asset Management system (EAMS).
  • Request price quotes, time and rate sheets, and delivery options from vendors.
  • Contact vendors and requestors to gather information to complete and expedite orders.
  • Interface with Procure to Pay (P2P) to request purchase orders and upload required documents.
  • Convert purchase requisitions into purchase orders ensuring all required documentation is attached and completed.
  • Place orders with vendors verifying prices and delivery dates.
  • Work closely with Corporate Purchasing and Accounts Payable to process invoices for payment from IWMS/EAMS, Workday, etc.
  • Confirm appropriate review and enter data into systems in a timely and accurate manner.
  • Monitor workflows/work queue to address any rejections or problems promptly.
  • Maintain productivity levels of invoices to ensure timely payments to suppliers.
  • Source products and materials by working directly with vendors and requestors.
  • Enhance relationships with departments, Corporate Purchasing, and suppliers to ensure effective purchasing procedures.
  • Resolve order, invoicing, or payment problems with timely and professional responses.
  • Maintain detailed records of purchases, including quantities ordered and received, shipping information, and costs.
  • Participate in projects as assigned by Management in support of Purchasing objectives.
  • Assist teammates by providing coverage on tasks for absences or heavy volumes in other areas.

Requirements

  • High School degree required.
  • 1 year of relevant post High School education or equivalent preferred.
  • 1-2 years of related experience preferred.
  • Excellent interpersonal and communication skills, both verbally and in writing.
  • Demonstrates high level of accuracy and attention to detail.
  • Ability to maintain and update paper and computerized purchasing records.
  • Working knowledge of MS Excel, Word, Outlook, and comfort with internet and web-based systems.

Nice-to-haves

  • Experience in a higher education or healthcare purchasing environment.
  • Familiarity with procurement systems and processes.
