About the position

The Purchasing Clerk is responsible for managing the procurement of raw food materials and ensuring compliance with GMP standards and FDA regulations. This role involves negotiating with suppliers, managing purchase orders through ERP systems, and maintaining accurate documentation to support procurement activities. The Purchasing Clerk will also evaluate supplier performance and work to establish savings goals while ensuring the reliability and quality of the supply chain.

Responsibilities

  • Compile information and records to draw up purchase orders for procurement of materials and services.
  • Source and purchase raw food materials in line with production requirements and company standards.
  • Evaluate and select suppliers based on quality, cost, and delivery performance.
  • Negotiate contracts, terms, and pricing with suppliers to achieve the best possible deals.
  • Utilize ERP systems to manage purchase orders, track inventory levels, and maintain accurate procurement records.
  • Ensure data integrity and accuracy in the ERP system.
  • Generate and analyze reports to monitor procurement performance and identify areas for improvement.
  • Ensure all purchasing activities comply with GMP standards and regulatory requirements by working closely with the SQF Practitioner and Plant Manager.
  • Build and maintain strong relationships with suppliers to ensure reliable supply chains.
  • Address and resolve any issues or discrepancies with suppliers promptly and effectively.
  • Conduct regular supplier performance reviews and implement corrective actions as necessary.
  • Prepare and maintain accurate records of purchase orders, invoices, and delivery schedules.
  • Compile reports on procurement activities, cost savings, and supplier performance for management review.
  • Ensure all documentation is up-to-date and readily accessible for audits and inspections.
  • Review, approve, receive orders in QuickBooks and submit to accounting.
  • Maintain and assess current pricing on packaging materials and ingredients to ensure case pricing is accurate and reflects current costs.

Requirements

  • High school diploma or equivalent.
  • Minimum of 3 years of experience in purchasing raw food materials or a related field.
  • Experience with ERP systems (e.g., SAP, Oracle, Microsoft Dynamics, Fishbowl).
  • Understanding of GMPs and regulatory documentation requirements in the food industry.

Nice-to-haves

  • Experience in food management (3 years preferred).
  • Experience in procurement (3 years preferred).
  • Experience with CGMP (3 years required).
