About the position

The Purchasing Contract Manager is responsible for coordinating with stakeholders to maintain efficient inventory and material flow within the health system. This role involves establishing performance metrics, managing vendor relationships, and ensuring compliance with purchasing agreements. The manager will oversee contract pricing exceptions, activate relevant contracts, and upload vendor agreements into the ERP system. Additionally, the role includes reviewing expiring contracts for timely renewal and collaborating with the Director to maximize GPO contracts across the hospital.

Responsibilities

  • Coordinate with stakeholders on processes and procedures for inventory and material flow.
  • Establish and monitor performance metrics for individuals and the group.
  • Manage vendor relationships and performance management.
  • Train and develop buyers and receivers.
  • Review all contract pricing exceptions and resolve issues with vendors or distributors.
  • Activate relevant GPO contracts and Letters of Commitments (LOC's).
  • Upload all Vendor Agreements and Pricing Files into the ERP System (Lawson).
  • Review volume reports to determine effective Purchasing Tier placement.
  • Review upcoming expiring contracts or LOC's and ensure timely renewal.
  • Collaborate with the Director to maximize GPO contracts hospital-wide.
  • Achieve contract compliance within authorized Group Purchasing Agreements.
  • Chair the Hospital's Value Analysis Committee.
  • Develop and implement strategies to acquire supplies in adequate quantities.
  • Review departmental requisitions for correctness and resolve discrepancies.
  • Confer with supplier representatives to fulfill departmental requisitions.
  • Monitor supplier backorders and expedite delivery, making alternate arrangements when necessary.
  • Ensure purchasing compliance with relevant standards, statutes, regulations, and laws.
  • Maintain open communication with hospital department heads and key personnel.

Requirements

  • Bachelor's degree in a related field or equivalent experience in materials management is required.
  • Five years of healthcare purchasing/materials management experience is preferred.
