About the position

A Japanese Manufacturing Company is seeking a qualified Purchasing/Data Entry Clerk to join their team in Valencia, California. The ideal candidate will be a creative, energetic, and organized individual who can effectively manage purchasing and data entry tasks. This position is essential for maintaining accurate records of materials in inventory and on order, ensuring that stock levels are monitored and replenished as necessary. The Purchasing/Data Entry Clerk will be responsible for processing purchase orders, tracking orders, and investigating any discrepancies that may arise. This role requires strong communication skills, as the clerk will be interfacing with vendors and internal teams to resolve purchasing issues and ensure smooth operations. The Purchasing/Data Entry Clerk will also be tasked with maintaining a current inventory database, accurately entering data, and reconciling stock counts. The position involves working closely with engineers regarding product orders and performing miscellaneous job-related duties as assigned. The working hours for this role are Monday to Friday, with an 8-hour day shift from either 7:30 am to 4:00 pm or 8:00 am to 4:30 pm. This is a full-time, temporary-to-hire position with a pay range of $20 to $25 per hour, depending on experience.

Responsibilities

  • Maintains records of materials in inventory and on order.
  • Monitors reorder points and initiates action to replenish stock.
  • Reconciles discrepancies in inventories and notifies supervisor of irregularities.
  • Monitors and maintains current inventory levels.
  • Processes purchase orders, including preparing purchase orders through vendors or online order systems; tracks orders and investigates problems.
  • Records purchases and maintains the database.
  • Contacts vendors and works with web-based processes to obtain price and delivery information.
  • Performs data entry using spreadsheets and/or current data systems accurately and efficiently.
  • Acts as a focal point for the resolution of basic purchasing discrepancies by communicating with customers and suppliers.
  • Interfacing with multiple business and computer systems, initiating actions related to invoices and payments.
  • Receives quantities and schedules, inspects and rejects items, and addresses other related issues.
  • Works closely with engineers regarding product orders.
  • Performs miscellaneous job-related duties as assigned.

Requirements

  • High school diploma or GED required.
  • At least 1 year of experience related to the duties and responsibilities specified.
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Ability to reconcile stock counts to report data.
  • Database management skills; accurate database entry and documentation skills.
  • Ability to analyze and solve problems.
  • Working knowledge of MS Outlook, Word, Excel, and the ability to learn and gain knowledge of an integrated database system.
  • Strong verbal and written communication skills, with the ability to interact professionally with internal and/or external customers.
  • Strong follow-through and perseverance to handle multiple tasks simultaneously.
  • Bilingual in Japanese is a plus.
