About the position

The Purchasing - Inventory Agent plays a crucial role in supporting the inventory department of Hayward Group, ensuring that inventory levels are maintained and optimized. This position involves working closely with key personnel to implement process improvements, manage purchase orders, and resolve inventory discrepancies, contributing to the overall efficiency and productivity of the organization.

Responsibilities

  • Work with key personnel to implement process improvements to operational procedures.
  • Create and release purchase orders to vendors (Domestic and International).
  • Confirm PO lead times from vendors.
  • Verify order confirmations against POs and confirm orders back to vendors daily.
  • Create and analyze internal work orders to create kits.
  • Perform thorough research and document inventory discrepancies using available resources.
  • Monitor warehouse transfers for accuracy and cost-effectiveness as directed by management.
  • Run overdue reports and contact vendors for shipping updates weekly.
  • Update POs in the system with new ETAs and add notes as needed.
  • Review internal monitoring system to resolve issues daily.
  • Create RTV and/or contact vendors for shipping discrepancies as needed.
  • Assist warehouse personnel with receiving issues daily.
  • Review daily backorder report and react to items with low or no inventory.

Requirements

  • Proficient in Microsoft Excel and Word.
  • Experience with NetSuite is preferable.
  • Strong organizational skills.
  • Negotiation skills.
  • Ability to work as a team player and adapt to new responsibilities.
