About the position

The Purchasing Manager/Administrator at TraPac LLC is a pivotal role responsible for coordinating procurements to ensure that adequate supplies are available while maintaining meticulous documentation of all purchases. This position supports the Maintenance & Repair (M&R) Department in various administrative, procurement, and management functions, as well as managing customer equipment services, which includes handling billing and inquiries. The role encompasses purchasing, negotiating, and expediting materials, equipment, spare parts, and supplies from vendors as necessary, alongside managing procurement contracts and safeguarding confidential information. The Purchasing Manager/Administrator must possess strong organizational and analytical skills to effectively manage reports, purchase documents, and invoices, while exercising discretion in handling sensitive matters. A thorough understanding of business purchasing methods and company policies is essential, as is the ability to negotiate favorable terms with integrity. The incumbent should be capable of quickly learning about products and services, and building relationships with both internal teams and suppliers. Industry knowledge, including familiarity with key suppliers and market trends, is crucial. A mechanical aptitude and understanding of technical terminology and industry standards such as ISO and DOT are also required. In this role, the individual will lead by example, enforcing safety protocols, and will be responsible for warranty parts authorization and expediting orders when necessary. Additional responsibilities include reconciling orders, ensuring confidentiality, managing longshoremen uniform orders, and maintaining critical business records. The candidate must demonstrate strong negotiation skills, attention to detail, and may be required to provide vacation relief for other managers.

Responsibilities

  • Coordinate procurements to ensure adequate supplies are available.
  • Maintain detailed documentation of all purchases.
  • Support the Maintenance & Repair (M&R) Department in administrative, procurement, and management functions.
  • Manage customer equipment services, including billing and inquiries.
  • Purchase, negotiate, and expedite materials, equipment, spare parts, and supplies from vendors.
  • Manage procurement contracts and handle confidential information.
  • Review and process purchasing requests, ensuring compliance with policy.
  • Issue purchase orders and resolve anomalies with open orders.
  • Maintain data records, files, and reports, and prepare bids, quotes, and proposals.
  • Participate in contract reviews and maintain purchasing contract files.
  • Liaise with vendors and departments to resolve procurement issues.
  • Research supply sources to secure favorable prices, service, or terms.

Requirements

  • High school diploma or GED; purchasing diploma/degree preferred.
  • Minimum of 1-2 years proven work experience in purchasing and inventory control.
  • Proficient experience with Microsoft Office Suite.
  • Experience with inventory management/purchasing software.
  • Purchasing, logistics, and/or warehouse experience.
  • Technical or parts interpreting knowledge is an advantage.
  • Practical knowledge of general safety, health, and environmental issues.
  • Strong analytical and critical thinking skills.
  • Attention to detail and strong negotiating skills.
  • Excellent verbal and written communication skills.
