About the position

The Purchasing Manager plays a crucial role in overseeing the entire purchasing process for the company's materials, equipment, tools, and storage containers. This position is responsible for managing all aspects of buying, selling, and distribution activities, ensuring that the procurement process aligns with the company's operational needs. The Purchasing Manager will coordinate closely with sales and design teams to maintain efficient inventory management and ensure that all procurement activities are executed in a timely and cost-effective manner. In this role, the Purchasing Manager will handle negotiations with vendors to secure favorable terms and prices, ensuring compliance with budgetary constraints. Effective communication is key, as the Purchasing Manager will provide timely updates to both internal teams and external suppliers regarding procurement needs and project requirements. The position also involves maintaining optimal stock levels by keeping track of incoming and stocked inventory, thus ensuring availability for ongoing projects. The Purchasing Manager will be responsible for analyzing price differences between quotes and invoices to ensure accurate billing and cost control. This includes managing the procurement budget effectively and keeping track of weekly expenses. Additionally, the role requires inputting purchase data into the company's accounting program for accurate record-keeping and financial tracking. The Purchasing Manager will also oversee warehouse employees, fostering a collaborative work environment and ensuring efficient order pulling and inventory management.

Responsibilities

  • Manage the purchasing process including buying, selling, and distribution aspects of materials, equipment, tools, and storage containers.
  • Keep track of incoming and stocked inventory to ensure availability and optimal stock levels.
  • Handle negotiations with vendors and suppliers to secure favorable terms and prices.
  • Review upcoming projects with sales and design teams to align procurement needs with project requirements.
  • Communicate with the sales team regarding price increases or savings to keep all stakeholders informed.
  • Identify and evaluate ideal suppliers based on quality, cost, and reliability criteria.
  • Maintain good rapport with the company's clientele and meet with vendors in person to discuss issues or upcoming projects.
  • Analyze price differences between quotes and invoices to ensure accurate billing and cost control.
  • Keep track of weekly expenses and manage the procurement budget effectively.
  • Input purchase data into the company's accounting program (e.g., QuickBooks) for accurate record-keeping and financial tracking.
  • Send out quote requests to vendors and track responses for timely decision-making.
  • Communicate with the accounting department to address any financial discrepancies or procurement-related issues.
  • Keep up with and check on back-orders to ensure timely fulfillment of orders.
  • Manage warehouse employees, including overseeing deliveries, order pulling, and inventory management.
  • Foster a collaborative and efficient work environment within the warehouse team.

Requirements

  • Prior experience working in a purchasing department within the same industry is required.
  • Working knowledge of negotiation techniques and procurement processes relevant to the industry.
  • Exceptional interpersonal and social skills for building and maintaining strong relationships.
  • Proficiency in multitasking with various communication methods (email, text, phone calls) and data entry tasks.
  • Excellent verbal and written communication skills.
  • Strong team player with the ability to collaborate effectively across departments.
