About the position

The Purchasing Manager is responsible for overseeing the procurement of materials necessary for the organization, ensuring quality, cost-effectiveness, and timely delivery. This role involves managing vendor relationships, evaluating supplier performance, and controlling the purchasing department's budget. The Purchasing Manager will also supervise the purchasing staff and collaborate with various departments to meet organizational needs.

Responsibilities

  • Arrange purchase and receipt of all materials to meet organizational demand.
  • Minimize total yearly cost of purchased items.
  • Conduct research to identify the best products and suppliers.
  • Evaluate vendor quotes and services to determine the most desirable source.
  • Communicate and resolve issues of sub-standard vendor performance.
  • Maintain and improve relationships with approved vendors.
  • Evaluate vendor dependability and suitability for supply requirements.
  • Set criteria for sources of supply and establish vendor approvals.
  • Control purchasing department budgets and forecast price trends.
  • Produce reports and statistics on purchasing volumes.
  • Interview, hire, and train purchasing department staff.
  • Evaluate commodities to be purchased and assign buyers accordingly.
  • Attend project meetings to provide purchasing input.
  • Ensure final acceptance of price, quantity, and delivery of purchased items.
  • Arrange and evaluate competitive quotations and contracts.
  • Expedite purchase orders to ensure timely deliveries.
  • Communicate material shortages and unforeseen problems to relevant departments.
  • Collaborate with other departments for special projects.
  • Keep abreast of changing trends in prices and materials availability.
  • Verify supplier compliance with accepted quotations and contracts.
  • Coordinate shipments from domestic and international suppliers.

Requirements

  • Ability to read, analyze, and interpret contracts, quotations, and financial reports.
  • Effective writing skills for responding to inquiries and complaints.
  • Ability to present information to top management or public groups.
  • Basic math skills for interpreting financial information and quotations.
  • Proficiency in MS-Word, Excel, Access, and SAP (a plus).
  • Ability to define problems, collect data, and draw valid conclusions.
  • Ability to interpret technical instructions and drawings.

Nice-to-haves

  • Experience in supply chain management or procurement.
  • Familiarity with international supplier communication and customs documentation.
