About the position

The Purchasing Manager is responsible for overseeing the purchasing department, setting goals based on corporate inventory needs and sales projections, and managing the purchasing team. This role involves ensuring compliance with safety and environmental procedures, managing raw material procurement, and establishing metrics for inventory levels. The Purchasing Manager will also work closely with various departments to improve vendor relationships and reduce costs while maintaining high standards of quality and efficiency.

Responsibilities

  • Oversee the purchasing department and establish Buyer goals based on corporate inventory needs and sales projections.
  • Ensure compliance with Health, Safety and Environmental procedures, company safety rules, and Current Good Manufacturing Practices (cGMP's).
  • Collaborate with inventory control and client services to develop metrics for gauging inventory level needs.
  • Manage new raw material buys including inventory levels, initial cost, lead-times, and MOQ.
  • Maintain awareness of cost savings opportunities and manage timelines for Pilot and New product project deadlines.
  • Establish VMI, safety stock, or forecasts for routinely used raw materials.
  • Supervise procurement of all replenishment buys on raw materials.
  • Integrate processes between R&D and supply chain for sample requests.
  • Propose improvements to the purchasing system to enhance vendor relationships and reduce costs.
  • Review MRP data and establish partnerships with suppliers to reduce material costs.
  • Assist with the RFQ process and attend Pilot and New Product meetings for communication on raw material delivery dates.
  • Negotiate payment terms and contractual pricing with suppliers.
  • Train and develop raw material replenishment buyers for JIT deliveries.
  • Oversee raw material buyers' workloads and manage the Receiving hot list for quick resolution of materials.
  • Manage reporting and expediting of raw materials as necessary.
  • Provide forecasts to corporate and ensure availability of allocated materials.
  • Communicate with Formula Control regarding substitute raw materials and manage expiration reports.
  • Share price increases with the finance department and provide monthly In Transit reports.
  • Manage liabilities to reduce obsolete materials and inventory levels.
  • Approve Medius invoices and attend customer meetings for high visibility launches.
  • Assist in expediting difficult raw materials and manage QAD CLA implementation.
  • Maintain lead time updates and communicate past due invoices with A/P.
  • Supervise the performance of buyers and ensure accurate processing of Purchase Orders.
  • Resolve discrepancies and issues related to purchase orders and receiving.
  • Develop cost savings opportunities for ordered items and maintain planning data for MRP systems.
  • Participate in New Product Launch meetings and update QAD lead-times and safety stock.

Requirements

  • Bachelor/Associate degree in a relatable field.
  • Minimum 5-7 years' experience in a Supply Chain role in Consumer Products, preferably in cosmetics process manufacturing or an FDA regulated industry.
  • Minimum 2+ years' experience in a Supply Chain Management role in Consumer Products, preferably in cosmetics process manufacturing or an FDA regulated industry.
  • Extensive experience with QAD/JDE/ORACLE/SAP or other comparable ERP/MRP systems.
  • Advanced reporting, designing, and data analytic skills; strong math skills required.
  • Advanced PC knowledge, particularly in MS Office Suite (Excel, Word, Outlook).
  • Intermediate experience with Excel, including pivot tables and v-lookups.
  • Good typing skills and 10 Key by touch.
  • Demonstration of continual education and initiative in learning industry trends.
  • Ability to lead, think strategically, and influence organizational change.
  • Strong time-management, organizational, planning, and leadership skills.
  • Excellent English communication skills, both verbal and written.
  • Willingness to participate in continuous process improvement and innovation.
  • Demonstration of a sense of urgency in achieving goals and responding to company needs.
  • Ability to build and sustain cooperative working relationships and support team objectives.
  • Good attendance record and flexibility to work special schedules as required.
  • Self-management and good time-management skills, with a commitment to completing assignments timely.
  • Ability to identify options for solving problems and evaluate strengths and weaknesses.
