The Purchasing Manager will work closely with the Executive Chef to manage all aspects of purchasing, including food, beverage, and controllable items, to ensure quality and profitability while adhering to budgetary constraints. In this position, the Purchasing Manager will assist in managing work, projects, policies, and standards for purchasing across various departments. This includes generating accurate and timely reports and presentations, compiling and verifying data, and supporting sanitation compliance. The role requires effective communication with kitchen staff, restaurant management, and vendors to ensure that deliveries meet the operational needs of the hotel. The Purchasing Manager will also be responsible for maintaining inventory controls, ensuring proper levels, dating, rotation, and requisitions, while also completing administrative tasks in a timely manner. The Purchasing Manager will demonstrate and apply accounting knowledge to purchasing operations, ensuring that all financial documentation is accurate and submitted on time. This includes monitoring taxes, documenting profits and losses, and achieving performance and budget goals. The role also involves providing information to supervisors and co-workers, attending meetings, and utilizing existing computer programs to manage invoices and costs effectively. Responsibilities

  • Follow established procedures in ordering, receiving, storing, distributing, and payment of items.
  • Formulate and maintain an approved vendors list encompassing all categories.
  • Assist in managing work, projects, policies, and standards for purchasing across departments.
  • Generate and provide accurate and timely results in the form of reports and presentations.
  • Compile, code, categorize, calculate, tabulate, audit, or verify information or data.
  • Support sanitation compliance and assist the Executive Chef in all aspects of purchasing.
  • Order all food and beverage based on business needs and maintain budgeted food costs.
  • Ensure sanitation and safety standards are maintained as per brand guidelines.
  • Communicate with kitchen, restaurant management, and vendors to ensure timely deliveries.
  • Check invoices against shipments to ensure accuracy in quantity, quality, and specifications.
  • Maintain inventory controls for proper levels, dating, rotation, and requisitions.
  • Complete administrative tasks on a timely basis, including C-7s and menu costing.
  • Support period-end inventory according to Food and Beverage and Accounting standard operating procedures.
  • Calculate figures for food and beverage inventory and maintain accurate logs.
  • Ensure price and product availability issues are communicated to the F&B Director and Executive Chef.
  • Receive and inspect deliveries, maintaining an accurate controllable log and beverage perpetual.
  • Support accurate administration of all invoices and adherence to bookkeeping procedures.

Requirements

  • 4-year bachelor's degree in Finance and Accounting or related major; or a minimum of 2 years' experience in Purchasing or a related field.
  • Demonstrated knowledge of job-relevant issues, products, systems, and processes.
  • Ability to use computers and computer systems effectively for data processing and reporting.
  • Strong organizational skills to prioritize and accomplish work goals.

Nice-to-haves
