About the position

The Purchasing Manager at Polo Club Boca Raton Property Owners Association is responsible for overseeing the purchasing, shipping, and receiving functions within the organization. This role entails managing the procurement of food products, beverages, and equipment while ensuring adherence to quality standards and cost-effectiveness. The Purchasing Manager will utilize the Food Trak base ordering system to implement controls and policies, track expenses, and allocate costs to the appropriate departments across the club. The position requires a proactive approach to attain the highest quality products at the lowest price point, ensuring that all purchases align with the specifications set by the Executive Chef. In this role, the Purchasing Manager will lead a team responsible for receiving food products, checking for compliance with specifications, and maintaining proper sanitary conditions in accordance with state and local laws. The manager will also be tasked with scheduling the purchasing team to meet delivery demands and will collaborate with the Executive Chef and department heads for special requests. Bidding for equipment and testing products to ensure quality will be a key responsibility, along with managing the setup of food carts for various outlets and venues. The Purchasing Manager will maintain a highly organized work environment, perform monthly inventory checks, and ensure that all storage areas are clean and well-organized. This position requires excellent communication skills to interact with members, co-workers, and management in a professional manner. The Purchasing Manager will also be responsible for submitting food invoices to the accounting department and managing the purchasing budget in collaboration with the Director of Culinary/Executive Chef. Overall, this role is crucial in ensuring that the culinary team has access to consistent and high-quality products while fostering a positive work environment.

Responsibilities

  • Manage the purchasing team and oversee the receiving of all food products.
  • Ensure compliance with specifications and standards set by the Executive Chef.
  • Schedule the purchasing team to meet delivery demands and changing business levels.
  • Collaborate with the Executive Chef and department heads for special requests and products.
  • Bid for equipment and test products to ensure quality.
  • Oversee the setup of food carts for delivery to various outlets and venues.
  • Bid, purchase, receive, and document all food, beverage, and operational supplies for the club.
  • Maintain and streamline the Food Trak system for all purchases.
  • Record and submit food invoices to the accounting department and CFO as needed.
  • Fill requisitions and cost on a weekly basis to account for departmental expenses.
  • Attend industry shows to acquire product and vendor knowledge as approved by the Executive Chef.
  • Manage monthly inventory and perform daily inspections of storage areas.
  • Encourage a positive work environment while working with a sense of urgency.
  • Work closely with the culinary team to ensure consistent quality products.
  • Assist in cutting and testing products prior to the season to set standards and guidelines.
  • Manage the purchasing budget with the Director of Culinary/Executive Chef.

Requirements

  • Culinary experience with a degree in Culinary Arts, Hotel and Hospitality Management, or Accounting preferred.
  • Minimum of 3 years experience in a culinary procurement department of a 4/5-star hotel, club, or resort.
  • Strong knowledge of food products, receiving, and delivery procedures.
  • Ability to communicate effectively in English, both verbally and in writing.
  • Proficient in Microsoft Office Suite and inventory software.
  • Health Department license in Sanitation management and Serve Safe Food Handler certificate.

Nice-to-haves

  • Experience with Food Trak or similar inventory management systems.
  • Knowledge of business math applications for calculating discounts, commissions, and proportions.
