About the position

At Phoenix Innovate, we are redefining the landscape of print production by moving away from outdated marketing and communication methods. As the Purchasing/Planning/Estimating Manager, you will be at the forefront of this transformation, overseeing the estimation, purchasing, and order entry processes for the production of printed materials. This role is pivotal in ensuring that our clients receive accurate and timely estimates that align with their specifications and our company standards. You will lead a dedicated team responsible for creating these estimates, managing purchasing activities, and ensuring seamless order entry, all while maintaining a focus on customer-centric communication. In this position, you will utilize your expertise in Microsoft Excel, Word, and email communication to analyze documentation and prepare estimates for time, cost, materials, and labor. Your leadership and communication skills will be essential as you collaborate with sales, vendors, and other departments to formulate estimates and resolve any issues that may arise. You will also be responsible for evaluating production methods and providing quotes based on the most economical approach, ensuring that we deliver the best value to our clients. Your role will involve developing a deep knowledge of available materials and recommending cost-saving opportunities. You will coordinate with department managers to determine production capabilities and optimal processes, providing direction and support to your team members who determine project specifications. Additionally, you will identify suppliers and internal resources for each quote request, perform cost and lead time analysis, and communicate effectively with upper management regarding quoting threshold data. This is a full-time position with a standard 8-hour shift from Monday to Friday, located in our Troy, Michigan office.

Responsibilities

  • Create printing estimates based on customer specifications, company standards, and rates.
  • Analyze documentation to prepare estimates for time, cost, materials, and labor.
  • Purchase and reconcile purchase orders.
  • Provide cost savings purchasing reports monthly.
  • Evaluate production methods and provide quotes based on the most economical approach.
  • Revise estimates as needed due to specification changes.
  • Develop knowledge of available materials and recommend cost-saving opportunities.
  • Collaborate with sales, vendors, and other departments to formulate estimates and resolve issues.
  • Utilize estimating software to provide accurate estimates to Customer Service Representatives.
  • Coordinate with department managers to determine production capabilities and optimal processes.
  • Provide direction and support to team members who determine project specifications.
  • Identify suppliers and internal resources for each quote request and research new sources of supply.
  • Review material costs and request supplier quotations.
  • Perform cost and lead time analysis to meet customer expectations.
  • Coordinate customer bids with sourcing to ensure proper execution.
  • Communicate quoting threshold data effectively with upper management.

Requirements

  • High school diploma or equivalent preferred.
  • Previous experience in purchasing, print estimating, and job planning is a must.
  • Excellent customer service skills and attention to detail.
  • Proficiency in Microsoft Excel and Word, or willingness to learn required software.
  • Strong understanding of offset and digital web print processes.
  • Ability to accurately communicate cost estimate information to account management.
  • Ability to multitask while maintaining quality control and accuracy.
  • Online purchasing experience is a must.
  • Ability to QC your work for accuracy and consistency while doing the same for your team.

Nice-to-haves
