About the position

The Purchasing Project Manager at Source is responsible for leading project purchasing, managing client communications, and collaborating with trusted vendors. This role focuses on implementing innovative purchasing strategies for furniture, fixtures, and equipment (FF&E) while ensuring efficiency and resource savings. The position is remote and full-time, allowing for flexibility in location within the United States.

Responsibilities

  • Work closely with internal or external specification requirements from project kickoff to ensure compliance with budget and design constraints.
  • Identify project priorities with team members for effective management.
  • Audit specifications and floorplans, collaborating with designers and architects for clarifications.
  • Confirm pricing and lead time information with local and national vendor representatives.
  • Maintain up-to-date vendor pricing on the Source platform for uploaded brands.
  • Generate specification sheets automatically for designer and client sign-off using the Source platform.
  • Coordinate with the Logistics team to establish a warehousing plan for each project.
  • Generate purchase orders, review invoices, and collaborate with the accounting team for timely vendor payments.
  • Process change orders as necessary and solidify project timelines with estimated delivery dates.
  • Ensure timely sign-off on sample or finish submittals and track all orders for accurate timelines.
  • Work with the Installation Manager to schedule onsite installation dates and manage post-installation punch list items.
  • Communicate project status and updates regularly with clients and team members.
  • Monitor budgets closely and communicate any changes effectively.
  • Ensure closeout documentation is completed within 30 days of installation.

Requirements

  • 5+ years of work experience in Hospitality Procurement.
  • Proficiency in Google Workplace and Microsoft Suite.
  • Experience with procurement software is a plus.
  • Strong communication skills, including excellent presentation abilities.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent attention to detail and project management skills.
  • Experience in independently overseeing and managing large complex projects.
  • Strong interpersonal and problem-solving skills.
  • Ability to proactively address project concerns or issues.
  • Familiarity with commercial interior products and proficiency in reading architectural floor plans and specifications.
  • Ability to meet strict and demanding deadlines regularly.
  • Associates or Bachelor's Degree in project management, business management, or a related field preferred.
