About the position

Source is seeking a Purchasing Project Manager to take charge of project purchasing, engage with clients, collaborate with trusted vendors, and oversee multiple projects from their inception through to installation and completion. This full-time, salaried position is remote and can be based anywhere in the United States. The Purchasing Project Manager will play a crucial role in implementing innovative purchasing strategies for furniture, fixtures, and equipment (FF&E), aiming to streamline processes and optimize resource utilization. In this role, you will work closely with internal teams as well as local and national architects, designers, owners, and contractors. Your primary objective will be to effectively budget, purchase, deliver, and install FF&E for a range of projects, from small housing developments to large hospitality ventures, while adhering to strict budgets, project timelines, and design visions. You will be responsible for managing multiple projects simultaneously, ensuring that all specifications align with budgetary constraints and design requirements. The Purchasing Project Manager will be tasked with auditing specifications and floor plans, collaborating with designers and architects to clarify any ambiguities, and maintaining up-to-date vendor pricing on the Source platform. You will also generate purchase orders, review invoices, and coordinate with the accounting team to ensure timely payments to vendors. Additionally, you will monitor project timelines, track orders, and communicate regularly with clients and team members to provide updates on project status. Your role will also involve managing the closeout documentation process to ensure completion within 30 days of installation.

Responsibilities

  • Work closely with internal or external specification requirements to ensure specs are within budget and design constraints.
  • Identify priorities of each project with team members.
  • Audit specifications and floorplans, collaborating with designers and architects for clarifications.
  • Confirm pricing and lead time information with local and national vendor representatives.
  • Keep vendor pricing up to date on the Source platform for uploaded brands.
  • Generate specification sheets for designer and client sign-off using the Source platform.
  • Determine warehousing plans by project in collaboration with the Logistics team.
  • Generate purchase orders and review all invoices, coordinating with the accounting team for timely vendor payments.
  • Process change orders as needed and solidify project timelines with estimated delivery dates.
  • Ensure timely signoff on sample or finish submittals.
  • Track all orders regularly to ensure accurate and transparent timelines.
  • Coordinate with the Installation Manager on onsite installation dates and requirements, as well as punch list items post-installation.
  • Communicate regularly with clients and team members to provide project status updates.
  • Closely monitor budgets and communicate any changes appropriately.
  • Oversee the preparation of closeout documentation, ensuring completion within 30 days of installation.

Requirements

  • 5+ years of work experience in Hospitality Procurement.
  • Proficiency in Google Workplace and Microsoft Suite.
  • Proficiency in procurement software is a plus.
  • Strong communication skills, including excellent presentation abilities.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent attention to detail.
  • Experience in independently overseeing and managing large complex projects.
  • Ability to effectively work with both internal and external team members.
  • Strong interpersonal and problem-solving skills.
  • Proactive in reacting and responding to project concerns or issues.
  • Familiarity with commercial interior products and proficiency in reading architectural floor plans and specifications.
  • Ability to meet strict and demanding deadlines regularly.
  • Associate's or Bachelor's Degree in project management, business management, or a related field preferred.
