About the position

The Purchasing Specialist & Junior Fund Manager at UCLA is responsible for assisting with purchasing and related functions for operating and sponsored research awards for approximately 27 Principal Investigators in the Physiology Group. This role involves reconciling ledgers, preparing accounting forms, and managing service unit recharges, ensuring efficient procurement practices and financial management within the department.

Responsibilities

• Assist with purchasing functions for operating and sponsored research awards.
• Reconcile ledgers and prepare accounting forms.
• Post-service unit recharges for Principal Investigators.
• Manage multiple tasks and keep them organized and on track.

Requirements

• 1 year of demonstrated experience in managing several tasks and keeping them organized (Required).
• Strong communication skills for dealing with diverse clientele including vendors and administrative staff (Required).
• Demonstrated ability to use spreadsheet and database software to generate reports (Required).
• Skill in effecting detailed procedures with accuracy and timeliness (Required).
• Strong organizational abilities in managing administrative and logistical processes (Required).
• Demonstrated skill in writing clear and concise business correspondence (Required).
• Bachelor's Degree in a related area or equivalent experience/training (Required).

Nice-to-haves

• 1 year of demonstrated working knowledge of procurement practices (Preferred).
• 1 year of university system experience (Preferred).
• Demonstrated skill in Purchasing/Accounts Payable systems (Preferred).
• Knowledge of electronic purchasing and e-commerce practices (Preferred).
• Knowledge of accounting and account reconciliation (Preferred).
• Demonstrated ability to initiate travel reimbursements (Preferred).
