About the position

The Purchasing & Warehouse Specialist at Technical Systems Group, Inc. plays a crucial role in maintaining inventory and managing the procurement of parts necessary for various projects. This position is integral to the operational success of the company, which has built a strong reputation over 40 years for providing customized, integrated security solutions. The specialist will be responsible for purchasing parts based on planned project orders, managing vendor relationships, receiving shipments, and maintaining the warehouse facility. The role requires adherence to the company's vision, mission, and values, emphasizing professionalism, teamwork, and effective communication with colleagues and clients alike. In this position, the specialist will perform a variety of administrative and clerical tasks related to procurement activities. This includes entering data into the purchase order system, placing orders, expediting open purchase orders, and effectively communicating purchasing and receipt information to key project personnel such as Project Managers and Operations Managers. The specialist will also coordinate the timely return of materials to suppliers and ensure that all project materials are received and staged appropriately. Maintaining inventory levels, supplier performance metrics, and compliance with purchasing regulations are also key responsibilities. The Purchasing & Warehouse Specialist will work primarily in a professional office environment but will also spend time in the warehouse, requiring the use of personal protective equipment. The role demands strong organizational skills, attention to detail, and the ability to lift up to 50 pounds. The position offers a standard work schedule with some flexibility, and while it does not require travel, it does involve a commitment to maintaining high standards of work and collaboration with other team members.

Responsibilities

  • Maintain inventory and manage purchasing parts based on planned project orders.
  • Manage vendor and supply relationships, ensuring timely procurement of materials.
  • Receive shipments and verify contents against packing slips and purchase orders.
  • Stage materials by project and notify team members when all project materials have been received.
  • Maintain minimum and maximum inventory levels for designated equipment and tools.
  • Support the creation and maintenance of databases and spreadsheets as required.
  • Comply with all company purchasing regulations, policies, and procedures.
  • Load and unload equipment and materials in a timely manner to avoid project delays.
  • Keep warehouse equipment clean and in good working order.

Requirements

  • High School Diploma or GED required.
  • Associate's Degree in Business preferred.
  • 1-3 years of experience in a purchasing/warehouse role preferred.
  • Proficient with Microsoft Office Suite (Outlook, Excel, Word).
  • Experience with QuickBooks software is preferred.
  • Knowledge of job costing and/or accounting is a plus.
  • Experience with ConnectWise is a plus.
  • Ability to navigate a relational database and utilize the internet.

Nice-to-haves

  • Knowledge of card access, fire alarm, and control systems.
  • Strong communication, interpersonal, and customer service skills.
  • Good mathematical skills with the ability to read, understand, and create credit/debit reports.
