About the position

The Maintenance Coordinator is accountable for the successful coordination and administration of activities related to Fleet Maintenance, Repair, PMs performed on schedule, Breakdowns, Campaigns, and other duties as assigned. This role requires performing quality work within deadlines, interacting professionally with employees, customers, and suppliers, and supporting management in meeting profit and growth objectives as established in the strategic business plan. The position involves working independently while communicating and coordinating with other employees and the organization, ensuring safety within company guidelines, standard operating procedures (SOP), and Job Safety Analysis (JSA). The ultimate goal is to increase line of business satisfaction, lower the cost of repairs/ownership, and increase equipment availability through the development and execution of long and short-range goals, action plans, and effective process support/implementation.

Responsibilities

  • Work with Suppliers and Employees by phone, email, and other means to ensure the completion of repair tasks within the timeline and estimated costs agreed upon before work approval.
  • Assign repairs to vendors and shops, matching the best repair plans to complete tasks to meet company goals.
  • Identify additional repairs that can be performed while the unit is down for repair and warranty coverage that will reduce costs.
  • Review completed invoices and Repair Orders for timeliness, completeness, accuracy, and quality, and finalize all repair orders.
  • Collaborate closely with Maintenance Management and Terminal Managers to ensure a cohesive process for tractor/trailer and equipment repairs, rapid turnaround of equipment, and quality assurance/quality control procedures.
  • Maintain strong relationships with mechanics, drivers, and business leaders through frequent communication to understand business needs and equipment priorities.
  • Regularly communicate with vendors and shops, sharing team performance metrics and corporate updates.
  • Maintain equipment maintenance costs within company budgeted amounts, measured monthly for assigned terminals.
  • Keep the work area clean and orderly.
  • Initiate and carry out projects that improve efficiency and/or reduce operating costs.
  • Participate in periodic maintenance management meetings.

  • Ability to communicate tactfully and courteously with business management employees, Suppliers, Drivers, Mechanics, and all other internal/external customers.
  • Ability to plan and organize work.
  • Strong organizational skills, ability to prioritize tasks, analyze data, and meet multiple deadlines.
  • Teamwork approach, cooperating with others and considering larger organizational goals.
  • Excellent written and oral communication skills.
  • Shop, Parts or Operational Leadership experience is a major plus.
  • Ability to organize and multi-task.
